Job Description
Our organisation is seeking an Executive Officer to support the General Manager in providing strategic fleet management services for over 11,000 vehicles across Queensland. The role involves managing executive correspondence and requests, secretariat for committees, coordinating performance reporting and audit responses.
Key Responsibilities
* Provide high-level executive support to the General Manager, including diary/calendar management and document preparation, highlighting emergent issues and presenting sound recommendations on operational matters.
* Research, analyse, review and draft correspondence, providing recommendations, ensuring compliance with corporate reporting processes.
* Assist and action incoming requests received by the Deputy Director-General office, prioritising requests in line with timeframe targets, utilising the Department's Mincor system for the management of incoming and outgoing correspondence.
* Actively contribute to our success through participation in projects and activities, developing and maintaining strong professional relationships and networks with stakeholders across the department.
* Coordinate, manage and facilitate the flow of information between QFleet and other areas of HPW, responding timely to audit requests, Right to Information enquiries, Fraud and Corruption (Integrity Services Unit) and Performance reporting and Estimates.
Requirements
* Excellent written and verbal communication skills, including the ability to prepare briefs, executive correspondence and policy documents.
* Demonstrated ability to confidently communicate in a clear, concise and articulate manner, communicating goals and objectives to others.
* Demonstrated ability to autonomously use a high level of initiative and self-motivation to see tasks through to completion and resolve office issues.
* Demonstrated ability to maintain a high standard of practice through sound governance and risk management.
