About The Role
We have a fantastic opportunity for a Business Support Administrator to join our Ground Engineering team, working with the Sizewell C project based out of our offices in Orwell Logistics Park, Ipswich.
Role purpose: To provide a wide range of administrative and analytical support to the project site team, and coordinate security vetting internally and with the client.
What You'll Be Doing
* Maintain accurate and secure paper based/electronic filing systems, including archiving quality records, document etc on electronic databases.
* Be fully conversant in MS Office to produce a range of spreadsheets, documents and presentations, as required. Including formatting of documents to client standards.
* Manage incoming quality documents from supply chain and sub-contractors and upload to electronic database.
* Assist team engineers with maintaining life time quality records, ensuring filling system is in order and up to date.
* Maintain and update document registers for drawings/ quality records/ supply chain records, (paper and electronic).
* Arrange and attend team meetings/conferences as required, to take minutes, and ensure appropriate facilities are organised. Distribute to team.
* Issue notice for inspections to the client and process those from supply chain/ sub-contractors.
* Perform ad hoc confidential project work, as required.
* Maintain full confidentiality of sensitive business issues.
* Support the security vetting process on the project and the work of other Administrators during periods of absence or unexpected high volumes of work activity.
* Book UK travel and accommodation.
* Ensure that invoices and business expenses are processed in order to be paid on time.
Who We're Looking For
* Substantial secretarial and/or administrative experience within a busy team environment.
* Highly organised and able to work on own initiative.
* Strong communication and influencing skills, with team and general management skills and strong customer focus.
* Excellent typing skills and IT Skills including Microsoft Office (Excel, Word and PowerPoint).
* Discreet and confidential and able to handle issues with great sensitivity; Excellent team working skills and ability to engage and build effective relationships at all levels.
* Demonstrable ability to prioritise and manage conflicting priorities during busy periods.
* Able to demonstrate a logical, proactive approach.
* Possesses a high degree of attention to detail.
* Proven ability to work well under pressure and to tight timescales.
* Experience in prioritising own/others work and of allocating and checking work.
