About This Role
This is a re-advertisement for our Practice Coordinator position. We've interviewed strong candidates but haven't yet found the right person who combines operational excellence with genuine people leadership capability. We're looking for someone exceptional who can transform our practice operations.
Why This Role Exists
Our Innaloo practice is at a critical juncture. We need a Practice Coordinator who can provide both day-to-day operational excellence and strategic people leadership. You'll be the linchpin between clinical delivery, patient experience, and business performance.
This role comes with genuine authority and accountability - you'll have the mandate to make necessary changes to drive practice performance.
What You'll Do
Operational Leadership
* Oversee all front desk operations, appointment scheduling, and patient flow
* Manage practice budgets, supplies, and vendor relationships
* Ensure compliance with all clinical and business regulations
* Implement and maintain practice systems and protocols
* Drive KPIs around patient satisfaction, schedule efficiency, and revenue optimization
People Leadership (This is Critical)
* Directly manage reception staff and coordinate with clinical team
* Coach, develop, and performance-manage team members
* Handle difficult conversations and resolve team conflicts effectively
* Lead team transitions and recruitment when needed
* Create a positive, accountable team culture
* Conduct regular one-on-ones and performance reviews
* Make staffing decisions with practice owner support
Strategic Partnership
* Work closely with practice owners to execute business strategy
* Identify operational improvements and implement changes
* Manage change initiatives with staff buy-in
* Provide regular reporting on practice performance
Your First 90 Days
* Weeks 1-2: Onboarding and training at a sister practice (our benchmark operation)
* Weeks 3-4: Shadowing and assessment at Innaloo - understand current state
* Weeks 5-8: Begin implementing priority operational improvements
* Weeks 9-12: Lead first major team transition (front desk restructure)
What We Need From You
Essential
* Proven experience managing teams of 5+ people in healthcare/dental setting
* Demonstrated ability to handle difficult conversations and manage underperformance
* Track record of improving operations and team performance
* Strong financial acumen (budget management, KPI reporting)
* Exceptional communication skills - written and verbal
* Experience with dental practice management software
* Ability to work independently and make decisions
* Available to start early January 2026 or earlier
