The Role
We're hiring a Creative Operations Manager to own the delivery rhythm of our creative team. This is a newly created role reporting directly to the General Manager, sitting at the intersection of creative operations and client delivery. You'll be responsible for building and running the systems that keep our creative output on track from forward resource planning to client-facing milestone communication.
This isn't a reactive scheduling role. We're looking for someone who thinks three steps ahead, spots capacity issues before they become problems and gives clients genuine confidence in how and when work will land.
This is a permanent, hybrid role open to candidates who can travel to our office in Rosebery, Australia.
What You'll Do
Forward Planning & Resource Management
* Own capacity planning across the creative team maintaining clear visibility of what's coming, what's in-flight, and what's at risk
* Brief the right resources at the right time, ensuring the team is set up to deliver before deadlines are in sight
* Proactively identify gaps between incoming workload and available capacity and elevate with solutions, not just problems
* Build and maintain a resourcing rhythm that supports both retainer commitments and project-based work
Client-Facing Delivery & Stakeholder Communication
* Develop and maintain client-facing timelines, milestones, and delivery schedules particularly across our key retainer accounts
* Own proactive communication to clients around delivery expectations, progress updates and any changes to scope or timing
* Manage expectations confidently and clearly, flagging risks early rather than managing fallout late
* Serve as a reliable, informed point of contact for delivery-related questions from clients and internal stakeholders
Creative Process & Marketing Operations
* Understand the end-to-end creative process from strategy and briefing through to production and delivery
* Work closely with the creative team, and client leads to support efficient and high-quality creative output
* Maintain strong knowledge of digital marketing channels, creative formats, and platform requirements across campaign and content work
* Support the smooth delivery of work across brand, campaign, content, digital, and motion projects
Workflow & Systems
* Refine and embed workflow processes tailored to a retainer-based creative agency model
* Maintain accurate, up-to-date project tracking across Asana, Harvest, and Google Suite
* Ensure timelines and workflows account for both strategic thinking and production requirements
* Ensure briefs, approvals, and handoffs move cleanly through the team without unnecessary delays
* Use Slack and existing tooling to keep internal communication tight and accountable
Cross-Regional Coordination
* Coordinate delivery across Australian and North American client accounts, accounting for time zone complexity and cross-regional dependencies
About You
* 5+ years in a traffic, delivery, or creative operations role ideally within a creative or digital agency
* Proven experience building and/or refining workflow systems, not just operating within them
* Strong forward planning instincts — you don't wait for problems to surface, you anticipate them
* Excellent client-facing communication skills, with the confidence to manage expectations directly
* Comfortable managing cross-regional work and the complexity that comes with it
* Strong understanding of creative and marketing workflows within a creative or digital agency
* Knowledge of digital channels, campaign production, and platform-specific creative formats
* Experience working closely with creatives, designers, and client leads
* Able to balance operational efficiency with delivery outcomes
* Experience specifically supporting retainer-based account models
* Familiarity with creative production workflows across brand, digital, and campaign work
* Background working within a scaling or growth-stage agency
