UGL is seeking an organised and detail‑driven Timesheet Administrator to support our project team based in Sale. This role is critical to ensuring accurate, timely processing of timesheets and labour data across a major decommissioning project, while also supporting core administrative workflows for onshore and offshore teams.
About The Role
The Timesheet Administrator will manage the end‑to‑end timesheet process — collecting, verifying, entering, and following up labour hours to ensure complete and accurate payroll and project reporting. You will work closely with supervisors, offshore coordinators, and technical personnel to keep data registers up to date and ensure all timesheet and administrative documentation is correctly captured and filed.
This role suits someone who enjoys numbers, data consistency, stakeholder follow‑up, and being the coordination point that keeps a project running smoothly.
Key Responsibilities
Timesheet & Labour Data Administration
* Collect and process timesheets for all onshore and offshore personnel
* Verify hours, allowances, overtime, job codes, and rostered patterns
* Liaise with supervisors and team members to resolve discrepancies or missing information
* Enter accurate data into internal systems (Excel, SAP, SharePoint, etc.)
* Ensure compliance with payroll cut‑offs and project reporting deadlines
* Maintain labour registers and weekly/monthly labour utilisation reports
Project & Technical Administration
* Collate data from multiple sources into spreadsheets and reporting templates (progress reports, welding data, equipment records, asset registers, training/qualification logs, drawing revisions)
* Monitor electronic registers and proactively seek updates from nominated team members
* Format documents and apply UGL style guides
* Scan, register, and upload quality control documentation
* Assist with receipting of incoming materials, logistics bookings, and general project administration during peak workload or leave coverage
* Perform other duties appropriate to skills and experience as required
Desirable Skills & Experience
* Previous experience as a Timesheet Administrator or Administration Assistant
* Experience in oil & gas, construction, defence, or similar heavy industry
* Strong proficiency in Microsoft Office (Word, Excel, SharePoint, Teams); SAP highly desirable
* Excellent communication skills (written & verbal)
* High accuracy, attention to detail, and comfort working with numbers
* Positive attitude with strong problem‑solving capability
* Ability to prioritise competing deadlines and follow up with multiple stakeholders
