(This role is Melbourne based however a merit pool may be used to select staff for Sydney, Canberra and Brisbane based office management roles) The Property team is part of the Global Corporate Operations Branch within the Corporate Services Division. The team is responsible for managing Austrade's domestic and overseas commercial property portfolio, which includes leasing arrangements, costing, designing and fitout of offices. The team works with a range of internal and external stakeholders to deliver suitable accommodation to meet Austrade's operational requirements. The Office, Facilities and Security Manager - Melbourne will organise and coordinate office administration duties, office procedures, ensure appropriate facilities management work is undertaken by relevant contractors and oversee the day-to-day security arrangements for the Melbourne office. The role is to create and maintain high levels of organisational effectiveness, communication, safety and security. The Office, Facilities and Security Manager - Melbourne should be able to ensure the smooth running of the office and help to improve organisational procedures and day-to-day operation. The role is office-based and the successful candidate will be required to work in the Austrade Melbourne office on a daily basis on business days. The key duties of the position include • manage the Melbourne Office to ensure the provision of: o administrative support to Austrade employees, including general IT issues o on-boarding processes for new starters in the organisation and cessation processes for those departing o effective management of office emergencies o mail and freight management o office asset management and data entry requirements o delivery of supplies and equipment o rent and utilities invoicing o office stationery supplies o visitor and reception management o support for in-house functions, events and visits o effective development and maintenance of office Standard Operating Procedures • facilities management: o facilities maintenance and servicing • maintenance of the integrity and functionality of the office, arranging necessary works and repairs • escorting contractors/vendors and after-hours onsite support when required • be the tenant representative to Building Management • office security support including but not limited to: o management of the Melbourne EACS and CCTV o management of security containers (a small number) o maintenance of relevant security registers o management of alarm monitoring contracts, including points of contact for alarm responses o management of security systems maintenance contracts • assist with ad-hoc tasks delegated within the Global Corporate Operations Branch
