Key Responsibilities:
The successful candidate will provide high-level administrative support to a licensed real estate principal agent, ensuring efficient daily operations and effective communication within the real estate business.
1. Connect with team members, clients, and industry contacts to maintain smooth day-to-day operations
2. Prepare reports, notes, memos, emails, and other documents for the principal agent
3. Organize sensitive files and documents, including client information, contracts, and property deals
4. Manage calendars, schedule property viewings, client meetings, and travel arrangements for the principal agent
5. Handle mail, correspondence, and maintain detailed transaction records
6. Answer calls, assist clients, and direct inquiries to appropriate team members
7. Support Property Managers with inspections, tenant applications, and key pickups
8. Organize property paperwork, such as listings, contracts, and closing documents
9. Assist in creating property marketing materials and listing details
10. Coordinate property viewings and open houses
11. Build and maintain client relationships through regular contact
12. Maintain digital and physical filing systems for easy access to property and client information
13. Guide junior staff and delegate tasks as needed
14. Order office supplies and ensure equipment functionality
Required Skills:
* Minimum 3 years of experience in administrative support roles, preferably in real estate
* Exceptional written and verbal communication skills
* Strong organizational skills and attention to detail
* Ability to maintain confidentiality and handle sensitive information discreetly
Preferred Qualifications:
* Real estate license or willingness to obtain one
* Experience with property management software
* Experience in property management
* Knowledge of real estate terminology and transaction processes
* Background in customer service or client relations
