Our client is seeking to engage an Executive Assistant. This is a Permanent Full-time role.

Position Overview
The Executive Assistant will be supporting the Growth and Development EGM who has significant responsibility in managing various tasks on behalf of the Leadership Team and the Executive Leadership Team.

Duties & Responsibilities:
Travel Management: The Executive Assistant will be responsible for negotiating travel deals with suppliers and managing the booking and changes of travel arrangements for the Leadership Team.
Key Customer Entertainment: The role involves ensuring that events and client meetings are booked in advance, customer contacts are made and tracked, event management is coordinated with providers, and feedback from customers is managed.
Expense Management: The Executive Assistant and Office Manager is responsible for ensuring that expenses are processed in a timely manner and are compliant with Downer's standards.
New Starter Onboarding and Induction Meetings Coordination: The role involves coordinating the onboarding process for any key senior staff reporting to the Leadership Team, including ensuring that key resources are provided to the new starter and key orientation is provided.
Office Management: The Executive Assistant and Office Manager will work with the Business Support Manager to ensure that all offices create a similar setting, have suitable facilities, and are cost-effective.

In addition to these responsibilities, the Executive Assistant is also responsible for managing the diary of the Leadership Team and coordinating their meetings and any key events chaired by the EGM. The role also involves managing the inbox of the Leadership Team to ensure that no critical items are missed and that there is a clear system for mail management.
