Job Overview

We are seeking a skilled and experienced Purchasing Executive to join our team. The successful candidate will be responsible for supporting various areas of responsibility, liaising with colleagues, and managing communication.

Responsibilities:

* Support related areas of responsibility to all personnel.
* Liaise with colleagues from other affiliates and personnel from regional and head office.
* Manage communication of related work areas, both internally and externally.
* Ensure the availability of requisite goods & services (including events & trips) from purchasing sources, with optimum savings, as per quality parameters and within stipulated time frames.
* Coordinate the submission of tender documents and support contracts/agreements for tenders or significant transactions, reviewed by legal support from TGP or regional legal team.
* Propose and develop purchasing policies, manuals, and SOPs for approval; ensure implementation in line with company ethics and guidelines, collaborating with Internal Control.
* Use optimal purchasing strategies considering business needs and requirements.
* Conduct periodic vendor assessments audits according to company and group guidelines.
* Perform Preliminary Risk Analysis and Due Diligence for suppliers/vendors, repeated every 2-3 years for existing suppliers.
* Authenticate supporting documents for New Vendor Creation/Modification before approval by Finance, and provide validated documents to Shared Services via e-ticketing for SAP vendor account management.
* Maintain and update supplier/vendor database; centralize all agreements and contracts.
* Prepare purchasing reports for regional/head office and local management.
* Retain all documents related to purchasing exercises, including Purchase Requisition Forms, Proposal Forms, Price Comparisons, and Purchase Orders.
* Assist with supplier audits such as Human Rights and Sustainability audits conducted by third-party inspection companies.

Minimum Requirements:

* 2-3 years of relevant working experience.
* Knowledge of Purchasing processes.
* Strong interpersonal skills; ability to work closely with all organizational levels.
* Proactive, vigilant, and resilient.
* Critical thinking and resourcefulness.
