We are seeking a dedicated Operations and Supply Chain Specialist to support the smooth and efficient running of our daily operations. This role ensures accuracy in procurement, logistics, inventory management, accounting support and cross-team coordination. The successful candidate will help strengthen operational workflows, improve productivity and maintain excellent documentation across the organisation.

Key Responsibilities

Accounting and Administrative Support

• Ensure accuracy and timeliness of financial and administrative records

• Reconcile payments in Xero, enter bills, supplier invoices and sales records

• Support general office and administrative tasks to meet operational requirements

• Maintain proper documentation of transactions and compliance with accounting guidelines

Procurement and Logistics

• Manage timely ordering, shipping and delivery of materials

• Prepare and issue purchase orders and maintain procurement records

• Coordinate shipments, monitor delivery status and manage clearance documents for import and export

• Arrange shipping of stock to Australia with accurate documentation

Inventory Management

• Monitor stock movement and ensure accurate inventory reporting

• Prepare daily stock-on-hand reports for clients

• Assist with stock take, data entry and reporting requirements

• Coordinate with warehouse teams to ensure smooth material flow

Creative and Team Coordination

• Provide support to creative, production and warehouse teams

• Coordinate packaging artworks, design library updates and related materials with the graphic artist

• Check artwork outputs and packaging for accuracy

• Support packaging activities and ensure tasks are documented and organized

Process Improvement

• Identify workflow inefficiencies, delays and bottlenecks

• Recommend improvements to streamline operations and reduce errors

• Support management in implementing and monitoring new procedures

Reporting

• Prepare and submit periodic operational, logistics and inventory reports

• Ensure reports are complete, accurate and delivered on time

Other Duties

• Assist in maintaining efficiency across the Operations and Supply Chain Department

• Perform other related tasks as assigned by management

Qualifications

• Bachelor's degree in Business Administration, Supply Chain, Logistics, Operations Management or related field

• Three to five years of experience in procurement, logistics or supply chain

• Knowledge of procurement, logistics and inventory processes

• Experience with Xero or similar accounting platforms

• Strong attention to detail and organizational skills

• Excellent communication and coordination abilities

• Proactive mindset with strong problem-solving skills

• Computer literate
