Description
The Project Coordinator will support GDLS‑A Program and Project Manager(s) in managing the full project lifecycle, including budgeting, scheduling, and bid/tender preparation. The role ensures milestones are met, deliverables are produced, and project metrics are maintained.
Responsibilities
* Plan, budget, and schedule work packages.
* Manage Commonwealth RFQs throughout the sales lifecycle, including AoP and AoC processes.
* Administer, coordinate, and prepare responses and reports to Commonwealth and commercial customers.
* Ensure milestones are achieved and project deliverables are met.
* Compile bid and tender responses in accordance with corporate policies and specific contract requirements.
* Develop strong working relationships with Commonwealth fleet managers, international program leads, and key stakeholders.
* Prepare periodic progress reports, including schedule, risk, and budget status.
* Assist in developing project plans, data deliverables, and research to support business solutions.
* Conduct training across commercial and project disciplines to grow capability.
* Analyse data sets and defence sector initiatives to identify sales growth and productivity opportunities.
* Maintain filing systems, correspondence, action item logs, and risk registers.
* Enter sales orders, quotes, and service requests into corporate systems.
* Support the preparation of GDLS‑A proposals and presentations to leadership and customers.
* Assist in contract and sub‑contract negotiations and ensure compliance with trade and security requirements.
* Lead S&Q preparation, AoP and AoC activities.
* Perform other duties and projects as assigned.
Qualifications
* Bachelor's Degree in Business or Commerce.
* Ability to collaborate with Commonwealth, suppliers, and internal team members.
* Logical data analysis and problem‑solving skills.
* Innovation and resourcefulness in solution development.
* Good understanding of costing and finance principles.
* Critical and methodical thinking with solution delivery.
* Strong business needs analysis and solution design.
* Enthusiastic attitude and willingness to learn and adapt.
* Proficiency in MS Office (Word, Project, PowerPoint, Excel).
* Excellent communication and organizational skills.
* Initiative and ability to plan and execute multiple tasks.
* Ability to gain and maintain an Australian Security Clearance.
* Project Management experience with strong communication and leadership skills (desirable).
* Finance or related industry training and qualifications (desirable).
* Intermediate or advanced MS Word and Excel skills (desirable).
* Basic trade compliance understanding (desirable).
