Office Coordinator – Retirement Living
to join our Estate team at the
Air Force Memorial Estate in Bull Creek
. In this role, you'll be the welcoming face of the estate, supporting residents, members and prospective residents with reception and administration services, coordinating leasing and admissions, and helping ensure our community continues to thrive.
About the Air Force Memorial Estate
Established in ****, Air Force Memorial Estate (AFME) is set on 11 hectares of prime land in
Bull Creek
with landscaped gardens and beautiful parklands with a picturesque lake nestled amongst shady gum trees. The resort style facilities enable residents to continue living independently, whilst enjoying their retirement being as relaxed or adventurous as they choose. There is a mixture of 163 retirement living apartments as well as older style units which, over the next ten years, will be replaced with contemporary accommodation apartments.
Responsibilities
Accountable for coordinating and prioritising all administrative requirements for residents and provide leadership and direction to the administrative team.
Distribute and respond where appropriate to internal and external written, verbal and telephone correspondence.
Assist the Estate Manager in the day to day running of the estate and provide leadership and direction as required.
Maintain accurate databases of residents, clients and prospective clients.
Accountable for prioritising all leasing, rental and waitlist and requirements, engaging with all prospective new residents coordinate leasing and rentals within the Estate, ensuring occupancy targets are maintained.
Prepare contracts for new residents and guide them through admissions process in consultation with the Estate Manager.
Coordinate scheduled unit maintenance tasks in conjunction with stakeholders.
Monitor the Emergency call system during core business hours and attend emergency call outs to residents if required.
Seek to identify and embed process improvements in line with our continuous improvement culture.

About You
Qualification or significant experience in administration support.
Experience working in retirement living (desirable).
Knowledge of the Retirement Living Act (WA) is advantageous.
Property leasing experience is preferred.
Intermediate to advanced MS Office skills (Excel, Word, Outlook, Publisher, Power Point).
Strong communication (written, verbal and listening) and interpersonal skills to build effective relationships.
Excellent attention to detail and accuracy.
Resident-focused approach with outstanding customer service skills.
Strong organisational skills and time management abilities.
