We are an expanding fire protection company business seeking a highly organised and detail-oriented General Administration Support to join our team.
The ideal candidate has a problem solving mindset and able to handle rapidly changing priorities, ensuring technicians are efficiently scheduled, clients are well-informed, and service delivery runs smoothly. You'll work closely with our field teams, clients, and management to coordinate appointments, manage calendars, and support day-to-day administrative tasks.

Responsibilities:
* Coordinate and manage daily schedules for fire maintenance technicians/ electricians and sub-contractors across multiple sites.
· Manage urgent callouts and rescheduling due to emergencies, cancellations, or delays.
* Communicate with clients to confirm appointments and service details.
* Monitor job progress and adjust schedules as needed.
· Allocate daily jobs and optimise routes for fire technicians based on priority, location, and urgency.
* Liaise with internal departments to ensure timely service delivery and a seamless workflow.
* Handle incoming calls and emails related to scheduling and service inquiries.
* Assist with reporting and administrative support as required
* Maintain and monitor accurate records of servicing and compliance within our software management system.
* Assist in continuous improvement initiatives to streamline our scheduling processes.
Skills/Qualifications:
* Proven experience in scheduling and administrative roles.
* Strong organisational and multitasking skills with the ability to prioritise workloads and thrive under pressure, being able to adapt to changing priorities.
* Excellent communication and interpersonal abilities. With the ability to build strong working relationships with technicians, clients, and team members.
* Strong administrative writing and verbal skills.
* Reliable, honest and bright
* High attention to detail
* Strong analytical skills
* Professionalism, confidentiality, and excellent organisational skills
* Proficiency in scheduling software, and Microsoft Office Suite
* Experience with software program "Uptick" preferred but not essential.
Fire industry scheduling experience will be highly regarded. Salary is negotiable commensurate with the quality of the candidate.
