The Opportunity
We have a full-time Personal and Team Assistant role based in our Macquarie, Sydney office to support key leaders and teams within our R&D department.
In this role you will provide essential personal assistance to two Vice Presidents and support multiple R&D groups.
You will keep our operations seamless through exceptional organisation, communication, and coordination skills.
This is an exciting opportunity for someone who enjoys variety and working with cross-functional teams.
Responsibilities
Manage calendars, inboxes, travel, expenses, and leadership meeting logistics for two VPs
Support departmental spending tracking and administrative reporting
Assist teams with travel, purchasing, meeting coordination, and event organisation
Handle onboarding activities, visitor access, and internal communications
Manage departmental resources including room bookings, equipment, and supplies
Provide general administrative support and cover for other assistants during leave

About You
Essential
Proven track-record in autonomously & proactively providing high-level admin support to multiple teams
Proven ability to work flexibly in a team environment to provide excellent customer service
Self-starter who takes initiative
Proven ability to think and act in a customer-centric way
Intermediate to Advanced Microsoft Office skills (Word, Excel, PowerPoint)
Ability to manage and prioritise own work, delivering to tight deadlines in a team environment
Ability to develop and implement processes to improve the performance of the team
Ideal
Experienced in department assistant roles, ideally in a product development or service-oriented environment
Exposure to and an affinity with working in a culturally diverse environment
Experience with Oracle/SAP, Concur, Workday, and Planisware
Experience working in customer-facing roles
