We are seeking an organised and proactive Office Manager to oversee our daily operations and contribute to the smooth running of our centre.
About the Role
The Office Manager plays a key role in supporting tutors, students, and families while ensuring that administrative processes run efficiently. This role is ideal for someone who thrives in a dynamic environment, communicates clearly, and enjoys working with young people and educators.
Key Responsibilities
Administrative Management
* Oversee general administrative tasks including filing, data entry, document management, and correspondence.
* Prepare and distribute memos, emails, reports, and notices to tutors, students, and families.
* Maintain office supplies, manage inventory, and coordinate ordering processes.
* Ensure student records, enrolment forms, and class schedules are accurate and up to date.
Student & Tutor Support
* Assist with student enrolment, registration, and onboarding processes.
* Respond to phone, email, and in-person enquiries with professionalism and care.
* Support tutors with access to resources, scheduling, and communication needs.
* Provide excellent customer service to students and parents, helping resolve issues or directing them to the appropriate staff.
Operations & Scheduling
* Manage class timetables, session bookings, room usage, and tutor allocations.
* Monitor attendance, cancellations, and follow-up communications.
* Assist with organising events such as parent meetings, assessment days, or holiday programs.
Financial & Compliance Support
* Process payments, invoices, and receipts accurately.
* Assist with reporting requirements and ensure policies and procedures are followed.
* Maintain confidentiality and compliance with education and child safety standards.
Skills & Qualifications
* Previous experience in office administration or office management (education environment preferred).
* Strong organisational and time-management skills.
* Proficient in Microsoft Office and comfortable learning new software or CRM systems.
* Excellent verbal and written communication skills.
* Ability to multitask, prioritise, and work independently.
* Friendly, approachable, and solutions-focused attitude.
* Working With Children Check (or ability to obtain one).
