 
        
        About the role 
The position operates within the Administrative Support Group of the Legal Services Sub-Program, which provides legal services and authoritative high quality advice to support the work of the Public Trust Office. Your specific role will be to provide high quality and timely executive secretarial support to the Official Solicitor, Corporate Legal Services and Official Solicitor, Customer Legal Services. The role is required to assist in the supervision of a small group of administrative secretarial staff, and reports directly to the Manager Legal Administrative Support. 
Key responsibilities 
As an Executive Legal Secretary you will be required to perform some or all of the following:
- Provide legal executive secretarial support to the teams within the Official Solicitor, Corporate Legal Services and Official Solicitor, Customer Legal Services. 
- Liaise with various levels of management, the general public, senior executives from public and private organisations on a wide range of issues, take follow-up action where necessary, and report as required. 
- Correspondence and file management on behalf of the appropriate Official Solicitor and lawyers, including determining action required on correspondence, drafting responses, maintaining a filing system and recording the flow of papers, as necessary. 
- Maintain and monitor appointment schedules including coordinating travel arrangements. 
- Screen incoming telephone calls and redirect where necessary. - Arrange meetings, conferences and other functions and take minutes, when appropriate. 
- Assist in the coordination of relevant information systems (e.g. Affinity) and software e.g. Microsoft Office and Content Manager 
- Assist with supervision of secretarial and administrative support staff in conjunction with the Executive Legal Assistant and Manager Legal Administrative Support.
