The Queensland Parliamentary Service is seeking a dedicated Electorate Officer to support Mr Tom Smith MP, Member for Bundaberg, in his parliamentary and community responsibilities. Based in the Bundaberg Electorate Office, this position plays a central role in ensuring the effective operation of the office and the delivery of responsive, high‐quality services to constituents, community organisations and key industry stakeholders, particularly within the primary industries sector.
Key Objectives
* Provide high-level administrative, executive and office management support to the Member.
* Support effective engagement with constituents, community organisations, industry stakeholders and government agencies.
* Demonstrate enthusiasm for research, with the capability to understand and communicate key areas of Government policy.
* Ensure the electorate office operates professionally, efficiently and in compliance with financial and parliamentary requirements.
Your Role
* Coordinate daily operations of the electorate office, ensuring efficient workflows and service delivery.
* Supervise and support a small team, including Assistant Electorate Officers and volunteers.
* Manage reception duties and respond to enquiries via phone, email and in person.
* Act as a primary point of contact for constituents seeking assistance and refer vulnerable individuals to appropriate services.
* Manage the Member's diary, correspondence and meeting schedules with accuracy and discretion.
* Undertake research and prepare briefing materials, correspondence and reports on parliamentary, policy and community matters, with a strong focus on local primary industries.
* Monitor media, community feedback and stakeholder networks to identify emerging issues.
* Manage financial administration, including expenditure tracking, reconciliation and acquittal processes.
* Maintain accurate records and document management systems to support compliance and reporting obligations.
* Assist with media enquiries, correspondence and social media content as directed.
* Support community engagement activities, meetings, events, grants and local initiatives.
What We're Looking For
* Experience in administration, office management or executive support roles.
* Strong research and analytical skills, with an interest in public policy; exposure to primary industries is highly regarded.
* Excellent interpersonal and written communication skills.
* Proven ability to manage confidential information with discretion.
* High-level organisational skills and the ability to manage competing priorities in a fast-paced environment.
* Experience managing financial processes, including reconciliations and acquittals.
* Proficiency in Microsoft Office applications and database systems.
* Ability to work collaboratively in a small team and meet tight deadlines.
