Fox Personnel Recruitment has proudly supported regional Victoria since 1999, and we're excited to be partnering with one of our long-standing clients in the residential property and retirement living sector to recruit an exceptional Client Liaison & Administrator.

This is not a run-of-the-mill admin role.

It's a people-focused, hands-on position where you'll be at the heart of the client journey — guiding new residents from contract signing right through to settlement, handover, and life in their new home. If you enjoy variety, responsibility, and genuinely helping people through important life transitions, this role will tick a lot of boxes.

About the Role


As the Client Liaison & Administrator, you'll be the friendly, organised, and professional link between clients, builders, trades, legal representatives, and the internal property team.

You'll play a critical role in ensuring every settlement is smooth, every client feels supported, and every detail is followed through — from first enquiry to post-settlement care.

No two days are the same, and that's exactly what makes this role so rewarding.

What You'll Be Doing

* Acting as the first point of contact for clients via phone, email, and in-person enquiries
* Supporting the Estates & Assets Coordinator with documentation, revisions, and client presentations
* Coordinating builder and site meetings, including scheduling, note-taking, and follow-ups
* Liaising with trades and on-site teams to ensure settlements are completed to a high standard
* Guiding clients through homes under construction and coordinating pre-settlement inspections
* Preparing welcome packs and settlement documentation, and liaising with external lawyers regarding lease registration and paperwork
* Being the go-to contact for new residents after settlement, including defect recording and reporting
* Providing reception and general administrative support to keep daily village operations running smoothly

What You'll Bring

* 2–3+ years' experience in a client-facing administrative, coordination, or liaison role
* A natural ability to communicate confidently and professionally with a wide range of people
* Strong organisational skills, attention to detail, and the ability to juggle priorities
* Proficiency in Microsoft Word, Outlook, and PowerPoint (Excel skills highly regarded)
* Willingness to attend site visits, inspections, and meetings when required
* A polished, professional presentation and a proactive, team-first attitude
