Position: Customer Service Officer - Clinical Admin

This role makes a real difference to how people experience care, every single day.
As a Customer Service Officer (CSO) in Clinical Administration, you support both the clinical and front-of-house foundations that quality care depends on.
You are a trusted support for clinicians and teams, ensuring clinical information, results and documentation are managed accurately, confidentially and in a timely way. You will also spend time supporting reception services across our sites, providing a welcoming, professional and non-judgemental experience for patients, visitors and staff.
This role will suit someone who enjoys structure, routine and getting things right, while also being comfortable in a people-facing environment. Much of the work involves managing clinical results, correspondence, inboxes and patient records using established processes that support safety, reliability and continuity of care.
This role works across multiple Ballarat Community Health sites and requires flexibility to move between locations based on daily service needs. Some days you will be front-facing at reception, welcoming people and supporting bookings and enquiries, while other days may be primarily phone-based or focused on clinical administration tasks such as managing clinical results, inboxes and patient documentation.
The CSO team works closely together and supports one another across both clinical administration and reception functions

* Are confident triaging electronic inboxes and following up actions appropriately
* Communicate clearly and professionally with clinicians, colleagues and external stakeholders
* Maintain a respectful, non-judgemental and confidential approach at all times
* Stay calm under pressure, know when to escalate matters, and manage competing priorities well
* Value working as part of a close team that relies on shared standards and mutual support
Experience in clinical administration, medical reception or a health setting is highly regarded.
