As the Grants and Administration Assistant, you'll support grants management and administration, ensuring smooth operations, strong stakeholder communication, and the effective delivery of the organisation's grants program.About the roleIn this role, you'll provide critical support to ensure the smooth running of the organisation's grants program, alongside general administrative support to the wider team.
You'll be instrumental in helping deliver funding to impactful organisations tackling social challenges across Australia.
Key responsibilities: Grants Management Support Administer the grants management system, including setting up organisational profiles, grant details, invoicing, and user access.
Track grant progress, project status, and reporting milestones.
Generate grant letters, agreements, and ensure timely signatures.
Analyse grants data and update coding and themes for reporting and dashboards.
Create clear, meaningful reports to support internal and external communications.
Maintain accurate records and ensure data integrity across all grant activities.
Support grant-related communications, including managing contact and mailing lists, and documenting meeting actions.
Administrative Support Provide day-to-day administrative support to team members, including diary management, meeting coordination, agenda preparation, and minute taking.
Assist with event coordination, such as researching venues, booking spaces, and organising catering for retreats, dinners, and graduations.
Prepare PowerPoint presentations, board papers, letters, and agreements, ensuring consistency with templates.
Support financial reconciliation, including invoice approvals and credit card reconciliations.
Manage electronic filing and records across platforms like SharePoint, M-Files, and the grants system.
Assist with communications tasks, such as updating contact lists, supporting social media activity, and checking updates to the annual report after design revisions.
What you'll bring Previous experience in administrative roles, ideally with exposure to grants management, data systems, or financial processes.
Excellent written and verbal communication skills, with the ability to engage confidently with stakeholders at all levels.
Strong organisational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
Solid proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), SharePoint, and ideally grants systems such as F1 Omnistar and Monday.com.
A collaborative, team-oriented approach with the ability to work both independently and as part of a close-knit team.
A high level of discretion and respect for confidentiality.
