Primary objective
Provide strategic advice and high-level executive, administrative and secretariat support to the Executive Director (ED) to
ensure efficient management of operational, corporate and governance responsibilities. The role ensures the accurate and
timely flow of information between the Division senior executives and stakeholders, supports informed decision-making,
and contributes to effective organisational performance.
Key duties and responsibilities
1. Coordinate and quality-assure executive and ministerial correspondence, briefing materials, reports and submissions to
ensure accuracy, timeliness and compliance with policy, legislation and departmental standards.
2. Provide high-level executive support, including diary and calendar management, communication triage, preparation and
review of presentations and speech notes, and secure records management.
3. Support the Executive Director with governance, corporate reporting and risk management, including tracking
deliverables, monitoring progress and escalating emerging risks or priority issues.
4. Build and maintain effective working relationships across the Division, the agency, other NT Government agencies and
external stakeholders to support information flow and proactive issues management.
5. Conduct research and analysis and compile information to support evidence-based decision-making, and the preparation
of reports, planning documents and project materials.
6. Manage and support projects and initiatives on behalf of the Executive Director, including documentation, progress
monitoring and stakeholder communication.
Selection criteria
Essential
1. Strong interpersonal and communication skills, with the ability to work effectively with diverse groups, remote teams and
senior stakeholders.
2. Demonstrated ability to perform in a fast-paced environment, managing competing priorities with sound judgement,
confidentiality and attention to detail.
3. Ability to assess risks, solve problems collaboratively and provide accurate, evidence-based advice.
4. Proficient in Microsoft Office with solid knowledge of records management, administrative processes and executive
office procedures.
5. Experienced in providing high-level executive support, including diary management, coordination of correspondence and
meetings, and handling sensitive information.
6. Skilled in preparing high-quality corporate documents and interpreting legislation or complex material.
Desirable
1. Experience using NT Government systems such as HPRM, PIPS, MyHR, TRIPS, VBS or similar.
2. Current Northern Territory drivers' licence or the ability to obtain.
3. Willingness to travel by commercial or light aircraft and 4WD, including to remote locations.
