About the Role
Based in Port Lincoln, the WHS Systems and Administration Coordinator reports to the Group WHS Manager and is accountable for the administration of WHS systems and processes to support the WHS function and business to meet its WHS and AMSA compliance obligations. The role manages document control, reporting, registers, and system updates, while supporting audits, training records, and risk management activities. By providing accurate data and streamlined administration, this position underpins effective WHS governance and supports the continuing development of streamlined safety systems and processes.
Key Responsibilities
* Responsible for monitoring of KPI's of incidents, inspections and other safety related operational requirements.
* Building of all inspections, checklists and templates.
* Responsible for document control and document management.
* Responsible for user management and access.
* Maintaining of vessel and crew details.
* Review and updating of all marine associated safe operation procedures in conjunction with WHS Manager and operations.
* Monitoring and reporting of scheduled inspections and maintenance.
* Maintaining of all policies and procedures.
* Assisting People and Culture with on and off boarding Yumbah employees.
* Assist with the development of WHS related training packages.
* Support the WHS Manager with the delivery of online and face to face training.
* Preparation of monthly safety performance reports for Operational leaders.
* Assist with compliance activities, including audits, inspection, and statutory reporting.
* Assist WHS Manager with collation of monthly board reports.
* Lead work related team meetings and activities as required.
Qualifications/Experience
* Relevant qualification or equivalent experience in WHS, business administration, or a related field.
* Prior experience in a WHS or operational administrative support role.
* Demonstrated experience in WHS administration or coordination, particularly supporting WHS systems, processes, and compliance requirements.
* Familiarity with WHS and AMSA compliance frameworks, including audit preparation, inspections, and statutory reporting.
* Strong administrative and organisational skills, including document control, register maintenance, and version management.
* Experience preparing reports, including monthly performance summaries, board reporting inputs, KPI dashboards, and lead/lag indicator tracking.
* Proficiency in digital platforms and data management, including: MS Office Suite (Excel, Word, PowerPoint), WHS information systems such as Safety Champion or similar, Intranet or document management platforms.
