The Role 
This is an exciting opportunity for experienced administrators to play a pivotal role in supporting the Executive Leadership Team within the fast-paced and dynamic Information, Advice and Partner Services Division. In this role, you will manage high-volume in-trays, coordinate and support a range of meetings, schedule appointments, and organise travel arrangements—ensuring the smooth and efficient delivery of executive priorities. 
In This Role, Your Responsibilities Will Include 
- Provide proficient, confidential executive support, administrative and secretarial services to the Executive Director, working under limited supervision and using a high level of initiative to resolve issues. 
- Act as the first point of contact for the Executive Director including managing enquiries, coordinating schedules and arranging meetings. 
- Coordinate incoming correspondence, complaints and other due tray items in accordance with priorities and address issues and follow-up as required. 
- Manage and resolve enquiries received from internal and external staff, clients and stakeholders appropriately screening for issues and directing enquiries to an appropriate area or contact. 
- Organise divisional meetings including preparation of agendas, taking of minutes, collating and distributing meeting materials. 
- Book and manage travel arrangements for the Executive Director. 
- Prepare or edit routine email communication, presentations, correspondence, briefing notes and reports. 
- Manage confidential records including saving, filing and archiving in accordance with relevant record keeping procedures. 
- Coordinate local financial transactions and reconciliation of credit cards if required. 
- Develop, implement and review administrative processes to manage workflow and create efficiencies. 
How You Will Be Assessed 
The ideal applicant will be someone who has the following capabilities: 
- You have administrative and secretariat experience in a professional office and can use information technology systems (eg. Microsoft Office) and learn organisation specific programs. 
- You can work independently, plan ahead, monitor task progress to ensure deadlines are met, demonstrate flexibility and reschedule or reorganise work to reflect changes in priority. 
- You communicate in a clear, succinct and accurate manner, operate effectively in internal forums and deliver courteous, confidential and professional services.
