About the role
The Mater Hospital Administration team has an opportunity available for an experienced Senior Administration Officer to join their team working in our Audiology, Speech Pathology and Cochlear Implant Administration team.
This is a maximum term contract from June 2026 – April 2027, part time role (32 hours per week) working Monday, Tuesday, Wednesday and Friday maternity leave cover.
* Providing Exceptional Customer Service to patients and clients
* Booking and managing outpatient appointments in TAHDIS (Team Allied Health DataInformation System)
* Register and update patient details in iPM
* Invoice/receipt patients in Totalcare and using HICAPS. (Including workcover, NDIS and DVA patients)
* CI appointments booking
* CI Database management
* Arranging Speech Pathology and Audiology appointments
* Manage phone calls from patients and clinical staff taking a variety of enquiries
* Stock ordering in D365 and WINC
* Maintain a high level of discretion and confidentiality, complying with administration, andfinancial policy and procedures. Maintaining accurate, current and accessible files
* Continually demonstrate highly developed written communication skills including ability to draft routine correspondence on behalf of management
* Provide administrative assistance to other senior staff and others as requested
* Exercise judgement where necessary to solve immediate problems in situations whereprecedents have not been set and procedures not defined
About you
* Strong interpersonal skills
* Previous Totalcare/billing experience (highly desirable)
* Previous experience in using HICAPS (desirable)
* Must be able to work autonomously as well a team
* High level of customer service, verbal and written communication skills
* Ability to multitask, organise and prioritise work effectively within a busy, fast-paced, demanding environment
* Highly developed time management and organisational skills Strong computer skills including competence in Administration systems (and the ability to quickly learn new systems)
* Ability to use programs such as Outlook, Word and Excel
