About Us

Gimuy Walubara Yidinji Elders Aboriginal Corporation (GWYEAC) is the recognised Tribal Authority for the Cairns region, representing the sovereign rights, responsibilities, and cultural authority of the Gimuy Walubara Yidinji people.

Founded in 2000, GWYEAC is an Indigenous-led, not-for-profit organisation dedicated to protecting Country, preserving culture, and empowering community through self-determined action.

GWYEAC leads the Gimuy Ranger Program, a culturally governed initiative that restores and protects land and Sea Country across the Trinity Inlet catchment. Guided by Tribal Law and Traditional Ecological Knowledge (TEK), the program weaves together cultural authority and scientific practice to address environmental management, cultural heritage protection, and climate resilience.

The Corporation also delivers a range of cultural services—including Welcome to Country, smoking ceremonies, Yidinji dance, bush food harvesting, cultural education, and heritage monitoring—that support intergenerational knowledge transfer while deepening public understanding of Yidinji identity and authority.

Through long-term partnerships with government, research institutions, and community organisations, GWYEAC continues to advance Indigenous land management, language revival, and sustainable development across Gimuy Country.


About You

These are the baseline skills and knowledge needed to step into the role.

* Experience working within an administrative, reception, or office support environment.
* Knowledge of standard administrative and clerical procedures.
* Knowledge of customer service principles and practices.
* Good keyboard and data entry skills.
* Basic knowledge of computers and relevant software applications ("Microsoft Office Suite or similar").


Position Summary

As the Administration Clerk, you will play a key role in keeping our organisation running smoothly and welcomingly. This role provides direct support to managers and supervisors across the Corporation and ensures clear communication within and outside the organisation.

You will be the first point of contact for phone calls, emails, and face-to-face visitors — greeting community members, partners, and guests with professionalism and care. Your responsibilities will include managing incoming and outgoing communications, scheduling appointments, and supporting daily operations through accurate filing, data entry, and document management.

You will also coordinate office administration tasks such as receiving and dispatching courier items, maintaining records, and providing assistance to the broader team as needed. This is a frontline role that combines organisational skill with cultural care, ensuring that everyone who connects with the Gimuy Walubara Yidinji Elders Aboriginal Corporation feels respected and supported.

We are looking for someone who :

* Is a local Indigenous person — Gimuy Walubara Yidinji people are strongly encouraged to apply. (5 points)
* Has a strong connection to and respect for Country, culture, and community. (10 points)
* Holds a Certificate III (or higher) in Business Administration, or is willing to obtain this qualification while in the role. (10 points)
* Has previous experience in administration, reception, or office coordination. (10 points)
* Brings strong communication skills (written and verbal) and can engage respectfully with community, Elders, and stakeholders. (10 points)
* Can demonstrate good computer literacy ("Microsoft Office Suite or similar"), or is willing to undertake training as required. (10 points)
* Has some experience (or willingness to learn) in shift management, rostering, or operational support. (10 points)
* Is familiar with financial systems (petty cash, invoicing, supplier quotes, payroll) or willing to undertake training in this area. (10 points)
* Holds a current driver's licence, or is willing to obtain one while in the role. (5 points)
* Demonstrates reliability, punctuality, and consistency in work habits. (10 points)
* Shows respect and care when representing GWYEAC in the community. (10 points)

Job Responsibility


Front Desk & Communication

* Answer, screen, and direct incoming calls with professionalism.
* Take and relay accurate messages in a timely manner.
* Provide clear information to callers, clients, and community members.
* Manage all incoming and outgoing email correspondence.
* Coordinate courier deliveries, mail, and messenger items.


Reception & Client Care

* Welcome and greet all visitors, ensuring they feel respected and cared for.
* Follow and uphold GWYEAC visitation protocols.
* Direct clients and stakeholders to the appropriate staff member, conference room, or meeting space.
* Monitor visitor access to maintain security awareness.


Administration & Office Management

* Prepare letters, correspondence, and internal documents.
* Draft, review, and manage supplier quotes and invoices.
* Provide general clerical support to managers and supervisors.
* Maintain office filing systems and digital records.
* Monitor and order office supplies; ensure common areas remain stocked and tidy.
* Coordinate maintenance and repair of office equipment.
* Manage the petty cash system and maintain records.


Organisational Support & Coordination

* Track and communicate staff movements (in / out of office, fieldwork, leave).
* Assist managers with scheduling meetings, appointments, and rostering.
* Support shift management by coordinating rosters, checking staff availability, and ensuring coverage for operational needs.
* Assist with logistics for Ranger Program and cultural events when required.


Workplace Culture & Safety

* Uphold GWYEAC's cultural safety, respectful workplace, and Indigenous employment policies.
* Ensure all duties are carried out in alignment with Gimuy values and community protocols.
* Act as the first point of care and connection for staff, Elders, and community visitors.
