Why this role exists

As Absolute Approvals continues to grow, we are strengthening our internal financial management capability to support increased project volume, improve financial visibility, and ensure strong governance across the business.

This role has been created to provide dedicated, specialist ownership of bookkeeping and financial processes, including financial oversight within our project systems. It ensures invoicing integrity, compliance, and financial accuracy across all projects, allowing the broader team to remain focused on delivery and client outcomes.

1-2 years of project-based accounting experience is required to effectively manage financial oversight within our project systems.

This is a part-time (2.5 days per week), office-based role in Canberra, focused purely on bookkeeping and financial administration. You will manage day-to-day financial operations, maintain strong financial governance, and support management with clear and reliable financial insight.

This is a specialist position — not a hybrid admin/accounts role — offering clear ownership, autonomy, and the opportunity to contribute to a structured and growing business.

Key Responsibilities
* Financial Processing & Invoicing

* Manage the end-to-end invoicing process, ensuring accuracy and timely issuance

* Work within BCS (Building Compliance System) to prepare and verify project-related financial data prior to invoicing

* Ensure financial documentation within BCS is accurate, complete, and compliant across all active projects

* Maintain invoice integrity, including correct entity details, payment terms, and supporting documentation

* Ensure all financial data syncs accurately into Xero and resolve discrepancies where required

Debtors & Cash Flow Management

* Monitor and manage debtor balances across the business

* Conduct structured follow-ups on overdue invoices

* Maintain accurate records of communications and payment tracking

* Support management with visibility over cash flow and outstanding revenue

Payroll & Compliance

* Process payroll in accordance with applicable awards and employment agreements

* Maintain accurate payroll records, including leave balances and superannuation

* Ensure compliance with statutory obligations including PAYG withholding and superannuation payments

BAS & Financial Reporting Support

* Prepare and lodge Business Activity Statements (BAS)

* Complete bank, payroll, and balance sheet reconciliations

* Support month-end processes and financial reporting preparation

* Assist management with financial data, reporting insights, and performance visibility

Financial Governance & Controls

* Maintain strong financial controls and data accuracy across all transactions

* Ensure financial records are audit-ready and compliant with regulatory requirements

* Identify and implement process improvements to strengthen financial operations

About You
* Proven experience in bookkeeping or financial administration (3+ years preferred)

* Minimum of 1-2 years bookkeeping experience is required for this position

* Strong working knowledge of Xero and payroll systems

* Experience with BAS preparation and ATO compliance requirements

* High attention to detail and strong organisational skills

* Able to work independently and manage competing deadlines

* Professional, reliable, and takes ownership of your work

* Australian permanent residency is required for this position

* $60,000 - $75,000 pro rata + super (based on experience)
