Description This is a 3 months fixed-term role with a view to extend. Supports an SVP or below. Executive Assistant to Regional Managing Director Australia and New Zealand Role & Responsibilities: Full knowledge of the Microsoft suite - Outlook Email, Excel, Word, PowerPoints Familiarity with SLACK a plus Ability to use zoom digital platform. Learning agility to pick up new systems such as the internal expenses and travel platforms. Strong Calendar Management essential to organise and schedule meetings and appointments and associated logistics for meetings – zoom F2F, catering, travel, transit. Prepare costings for team meetings and personal travel. Identifying appropriate travel itineraries and submitting upline approval requests prior to booking travel Monitoring all requests for travel are completed correctly and guide them through the approval channels. Ensuring pre-briefs, Exec Briefs are in place for all meetings. Work with Operations and Finance teams to accommodate pop up meetings. Liaise with Marketing to coordinate events and to consolidate nominations, registration, and attendance lists. Write business appropriate correspondence whilst liaising with external parties and organising meetings. Assist in the preparation of scheduled reports. Submit expense reports in accordance with compliance and on time. Ability to handle sensitive information in a confidential manner. Minute taking where requested.
