The position is required to coordinate and support the Business Management team and provide additional all-round support to the Office of the Deputy Director-General Rail.
Some Of Your Responsibilities Will Include
Proactively support senior stakeholders with requirements, including documentation assistance, reporting within tight timeframes, and monitoring of sensitive issues and ensuring escalation where appropriate.
Provide confidential, high quality administrative support to the Director (Business Management) and Office of the Deputy Director-General (Rail) maintaining sensitive and confidential information, always exercising discretion.
Actively develop and review administrative processes and systems for improvement opportunities, identify process blockages and work with relevant stakeholders to proactively support resolution and provide more effective and efficient work practices.
Schedule, organise and where necessary attend meetings and working groups, and co-ordinate all necessary administrative support for such meetings.
Take notes and prepare minutes for distribution if required.
Assist in the preparation of human resources, procurement, communications and general business support including process documentation, maintaining registers and document management.
Provide general support with the administrative operations such as onboarding, off-boarding, ordering, messaging and day-to-day running of the Office of the Deputy Director-General (Rail).
Actively participate in personal performance planning and appraisal through accepting and providing positive and constructive feedback.
Undertake training and development opportunities that are identified as necessary to achieve work unit goals and gain awareness of corporate responsibilities through the appropriate induction processes and participation in other relevant programmes.
Requirements Of The Role
Experience in proactively supporting teams which are large and complex involving multiple stakeholders and agencies.
Experience and understanding in providing confidential, high quality administrative support to the team, developing documents and administrative process and system improvements, collaborating to proactively provide more effective and efficient work practices.
