About Operations Coordinator Role
This full-time, permanent position is a key part of the Operations Department team, reporting to the General Manager, Operations. Responsibilities include:
* End of month AR project invoicing using simPRO
* Management and setup of multiple online client portals using Ventia, Ariba and Sitepass
* Assist Department Managers and Project Managers with project coordination, scheduling, administration and document preparation
* Assist with quality improvement projects, such as implementing software solutions to help streamline internal processes
* Manage the Operations Assistant, including timesheet approvals, quarterly catchups and providing support as needed.
* Responsible for Operations Department meetings, scheduling, creating and distributing agendas, taking and distributing minutes, updating task lists and acting as required.
* Liaise with clients regarding invoicing, contracts, upcoming and current projects.
* Update and maintain relevant department procedures and documentation as needed
* Manage multiple internal registers
* Involvement in the HSEQ Department, assisting with onsite and office safety processes and documentation.
* Assist with Operations Department new employee onboarding
* Backup for multiple roles within the Operations Department
* Assist with incoming telephone calls
* General office administration
Requirements and Qualifications
To be successful in this role, you will:
* Have demonstrated experience performing in a similar role, including people management
* Have experience dealing with managers and broad team dynamics
* Have high attention to detail, exceptional multitasking skills, ability to work independently and prioritise to meet deadlines
* Be able to coordinate internal and external stakeholders
* Have high proficiency in Windows 10 and Microsoft Office 365, intermediate Excel skills
* Have exceptional interpersonal and communication skills, strong sense of self awareness and EQ
* Be a problem solver who uses initiative and judgement to identify and execute priorities
* Have a strong work ethic, reliability and high standards
* Be a team player who can also work autonomously
* Have excellent telephone manner and customer service abilities
