Role
As a member of the leadership team, the Business Manager is accountable for the development and delivery of key services that support the effective operation of the school. Responsibilities include developing policy frameworks, managing major initiatives, and ensuring compliance with Department of Education policies and procedures.
Selection Criteria
* SC1 Demonstrated experience working with financial systems, policies, governance, reporting, and process improvements to strengthen school performance consistent with DE finance policies and procedures.
* SC2 Demonstrated capacity and experience in applying Department of Education human resource policy and procedures in a school setting and the capacity to provide advice to leadership to achieve fair and equitable application of DE policy.
* SC3 Demonstrated excellent written, verbal and interpersonal communication skills, with the ability to build positive and respectful relationships across a diverse range of stakeholders including staff; students and families; school councillors; external service providers and the wider community.
* SC4 Demonstrated ability to manage sensitive and confidential matters appropriately and to consistently reflect Department values: Responsiveness, Integrity, Impartiality, Accountability, Respect, Leadership, Human Rights.
* SC5 Demonstrated highly developed administrative, organisational and management skills with the clear ability to establish priorities, implement effective time management strategies, manage workflow to meet deadlines, and effectively manage the office administration team.
* SC6 Demonstrated commitment to ongoing professional learning and development, both personally and in supporting the growth and capability of colleagues across the school.
Responsibilities
Administration & Education Support Staff Management
* Conduct regular/weekly meetings with the administration team.
* Overall management of the day‑to‑day operations of the administration team and area.
* Support administration staff in their training within their roles and across other administration roles.
* Conduct regular meetings with all Education Support Staff.
* Support Education Support teams.
* PDP assistance and support.
* Support all Educational Support staff to have Professional Development.
* Approve all Education Support Professional Support.
Accounts Payable
* Check accuracy of payments prior to the payment batch being uploaded to Commbiz.
* Amend any budget coding on Compass Purchase orders before completing the final approval process.
* Journal incorrect entries.
Bank Accounts and Purchase Card Management
* Manage and update signatories to each bank account following the first School Council meeting.
* Manage the Purchase Card program including overseeing the processed payments, issuing new cards and card management in CASES21.
Census
* Complete the Department Census in February and August.
Human Resources
* Enter new positions onto Recruitment Online.
* Download applications once positions have closed.
* Onboard successful applicants onto eduPay.
* Provide letters of offer to successful applicants.
* Approve personal leave requests.
* Take LSL and LWOP requests to SOT meetings.
* Meet with staff to discuss leave options.
* Remind staff to enter personal leave.
* Fortnightly validation of the payroll through eduPay.
* Maintain staff personal files.
SRP
* Staffing updates into the SRP Planner.
* Monitor and manage the fortnightly SRP reports.
* Claim back all long service leave reimbursements.
WorkCover/Return to Work Coordinator
* Process and manage all WorkCover claims through eduSafe Plus.
* Ensure all documentation is uploaded onto eduSafe.
* Liaise with Gallagher Bassett / DET WorkCover and applicable employee as required.
* Prepare RTW plans in consultation with staff members, principal team and other stakeholders.
* Consult with treating practitioners, Occupational Rehabilitation provider and case manager.
* Help resolve return to work issues or disputes.
Financial Management
* Create and manage school cash budget and ensure correct entry into CASES21 and Compass.
* Distribute budget proformas to Faculty Coordinators.
* Final approval on all Compass Purchase Orders.
* Produce budgets and reconciliations for all camps, excursions and activities carried out throughout the year.
* Perform all End of Month tasks in a timely manner.
* Ensure cash handling, financial and internal controls are adhered to.
* Equity support discussions and approvals.
Asset Management
* Ensure stocktakes are carried out biennially.
* Provide documentation to accounts payable staff to ensure new assets are recorded when they are purchased.
* Follow Department guidelines for the disposal of assets as required.
Finance Committee / School Council
* Prepare monthly report and documentation for meetings and distribute to members.
* Invitations via Outlook for all Finance committee meetings.
* Present reports at Finance Committee.
End of Month / End of Year Process/s
* Perform all End of Month tasks in a timely manner.
* Perform the End of Year Administration Process - work collaboratively with the administration.
* Perform the End of Year Finance Process - work collaboratively with the accounts payable.
Voluntary Contributions, Music Fees, Optional Items & Excursion Costs
* Oversee all charges going out to families.
* Confirm whole year level excursions with faculty coordinators, add/amend on school charges tally sheet.
* Work with Music Leading teacher / Music Administration officer on the music programme to ensure costs are recouped.
* Approve / oversee and support the set‑up Voluntary contributions in Compass Course Confirmation, including payment plan dates.
Other
* Weekly Leadership Meetings.
* Weekly Consultative Meetings.
* General Student, Parent and Staff queries/assistance.
* All parent payment plan discussions and support.
* DET requirements as necessary.
* Any other duty as directed by the Principal.
