We're chasing a proactive, organised, 'switched-on' Construction Administrator / Document Controller who can keep our project paperwork tight, support our site crews, and help build the internal systems that will take Theo Group to the next level.
This isn't a boring reception role or a corporate desk job. You'll be right in the mix — mobilising crews, managing project documents, coordinating suppliers, and keeping the office and site aligned.

We're Theo Group — a family-operated civil construction company delivering in-situ concrete, drainage, and civil works across WA.
We work with Main Roads WA, Mining companies and major contractors on metro and regional projects across the state with a strong pipeline of exciting projects. We're big enough to take on serious work — but small enough to keep that family-first, tight-knit culture.
The 'Switched-On' Construction Admin we're looking for will:
* Keep project documentation up to date — drawings, ITPs, SWMS, QA packs, contracts
* Assist with site mobilisations and HR duties— inductions, accommodation, travel, vehicles, onboarding
* Maintain registers — tickets, equipment, materials, insurances
* Support project managers with procurement, POs, delivery dockets, and supplier coordination
* Help roll out new systems, processes, and software as we scale
* Prepare simple reports, forms, and compliance documents
* Keep the office running smoothly — and stay one step ahead of problems
You're the type of person who hates chaos, spots errors before anyone else sees them, and gets things done without needing to be asked twice.
What we need from you:
* Experience in construction admin or document control (civil preferred)
* Strong organisation and attention to detail — you care about doing things properly
* Confidence using Excel, Word, Outlook (Varicon advantageous)
* A practical mindset — you understand how the site and office link together
* Ability to juggle multiple tasks without falling apart under pressure
* A team-first attitude and a willingness to pitch in where needed
