Personal Assistant – City Safety & Health & Emergency Management Support
Wantirna South | $47 per hour + super | Short-term coverage through to 9 June
We are seeking an experienced Personal Assistant to provide high-level administrative support to the Manager City Safety & Health and the broader leadership team within a local government environment. This is a varied and fast-paced role, supporting both executive operations and Emergency Management initiatives, requiring strong organisational skills, stakeholder engagement and the ability to manage competing priorities.
Key Responsibilities
* Provide proactive, high-level administrative support including diary management, inbox coordination and correspondence
* Manage enquiries, communications and documentation to a high professional standard
* Coordinate meetings, events and functions including logistics, bookings and preparation of materials
* Support financial administration including purchase orders and expenditure reconciliation
* Assist in the development and improvement of systems, processes and reporting
* Collaborate across departments to support projects, strategies and initiatives
* Provide administrative and project support to Emergency Management activities
* Prepare reports, newsletters, and stakeholder communications
* Coordinate internal and external stakeholders across council, government and emergency services
* Provide secretariat support to the Municipal Emergency Management Planning Committee
About You
* Previous experience in a Personal Assistant, Executive Assistant or senior administration role
* Strong organisational and time management skills with the ability to manage multiple priorities
* Excellent written and verbal communication skills
* High attention to detail and ability to produce quality documentation
* Strong stakeholder engagement and customer service focus
* Proficiency across Microsoft Office and corporate systems
* Local government experience is desirable
* Experience with Infor Pathway or similar systems is advantageous
Additional Requirements
* Current Victorian Driver's Licence
* Police Check and right to work in Australia
* Flexibility to support occasional after-hours Emergency Management requirements if needed
