The Administration Assistant – Early Learning Centre is required to provide a high-standard of administrative and front-office support at the Early Learning Centre’s Reception area, in a manner that contributes to the smooth day-to-day running of the Centre.
Supporting the Director of the Early Learning Centre, this role provides administrative support by engaging with families and internally with colleagues and stakeholders by delivering quality administrative assistance including, but not limited to enrolments, Family Assistance Law and Child Care Subsidy (CCS) and compliance. With a focus on maintaining accurate and at times confidential records, ensuring adherence to relevant legislation and service policies, and contributing to a positive and professional service environment, the Administration Assistant – Early Learning Centre is part of a busy team who possess high levels of enthusiasm and a genuine respect for children.
With face-to-face, email and telephone interaction with children, parents and staff, this position will be tasked with handling general enquiries and being the face of the College, in the public-facing reception area.
Providing a high quality of customer service, the role also works with other administration team members across the campus to ensure all stakeholders are provided with information in a timely, accurate and consistent manner. Attendance at College events outside of hours may be required, from time to time.

About the role
Working in a timely, accurate and consistent manner, the Administration Assistant will be:
Providing customer service in the Early Learning Centre Reception area that both role models and promotes respectful interactions for all children and adults.
Attending to incoming and outgoing correspondence, coordinating appointments and attending to face-to-face, email and telephone interaction with children, parents, staff and external stakeholders.
Routinely supporting the Director by:
maintaining accurate and up to date records
reviewing and editing documents, policies, guidelines and reports and preparing, finalising and distributing data, lists and reports.
providing administrative support across the areas of Child Care Subsidy documentation, submissions, assessments and attendances.
monitoring the assigned email inboxes and any associated Drop Boxes.
distributing key information and collateral across the College and providing digital/electronic updates via the College App and Storypark
supporting special events
purchasing catering requirements and assisting with tea and coffee making duties and any ancillary resource requirements including room bookings.
routinely monitoring the financial administration of the Centre and providing insights and advice
researching legislation and amendments and providing updates.
