Job details
The ICT Contracts and Asset Management Section within the ICT Strategy and Investment Management Branch of DFAT's Information Management and Technology Division has a requirement for up to (2x) labour hire resources to fill the role of ICT Contracts Administrator.
Key duties and responsibilities
* Work as a part of a team of procurement and contract management staff to ensure delivery of high-quality outputs and outcomes as part of delivery of ICT contract management and procurement services to the Department.
* Performing ICT procurement and contract management-related administrative duties, including invoicing review, correspondence, reporting, records management, and scheduling meetings.
* Developing and maintaining strong internal & external working relationships
* Demonstrated high level of written and verbal communication, organisation and administration skills.

Technical skills
Cert IV Contract Management and Procurement.
About the team
The ICT Contracts and Asset Management (CAM) Section manages ICT contracts on behalf of the Department. This includes several high value, high risk contracts including the International Network Services Agreement (INSA) which provides Internet, IPVPN and Satellite links to all posts overseas. This is in accordance with the mandate the Department has to provide telecommunications to all Australian Government Agencies overseas. The INSA is critical to the ability of overseas posts ability to communicate with DFAT and/or their respective agency in Australia.
Criteria
* 1.• Support day-to-day contract management activities that reflect departmental needs, align with departmental priorities and comply with applicable legislation, regulations, policies, guidelines and procedures (e.g. PGPA Act, Commonwealth Procurement Rules, FFSP Act and the DFAT Procurement Policy).
* 2.• Provide administrative support to contract managers including but not limited to: o Electronic records management including creation, filing and updating o Creation and maintenance of registers o Tracking and management of invoice approval to payment o Central mailbox management and maintenance o Meeting minutes recording where required
* 3.• Good working knowledge of Commonwealth Procurement Rules (CPRs) and Government procurement policy frameworks.
* 4.• Assist with drafting procurement and contract documentation including tenders, panels, contracts and statutory reporting requirements.
* 5.• Collate data contract management. Provide simple analysis and reports as requested.
* 6.• Communicate effectively with all levels of staff. • Proficient in Excel. • Demonstrated experience in contract management support and administration within Australian government environments. • Current AGSVA security clearance (minimum NV1).
* 1.• Experience in ICT and capability delivery.
