The Role
We're hiring an Executive Assistant to the CEO — the person who makes the founder faster, sharper, and more focused every single day.
Your mission: own the calendar, the inbox, the follow-ups, and the thousand moving pieces so the CEO can stay in their zone of genius — building, leading, and serving clients. This isn't a \"sit and wait for instructions\" role. You'll anticipate needs before they're spoken, bring structure to chaos, and quietly make sure nothing falls through the cracks. You're the gatekeeper, the chaos conductor and the glue between personal and professional life.

What You'll Own
Calendar & Schedule Management
* Own the CEO's calendar — protect their time like it's the most valuable asset in the company (because it is)
* Schedule, reschedule, and prioritise meetings so every day is intentional, not reactive
* Prepare daily and weekly briefings so the CEO walks into every meeting ready
Communication & Inbox Management
* Triage and manage the CEO's email — flag what matters, draft responses, and ensure nothing urgent gets buried
* Be the gatekeeper — filter requests, manage expectations, and communicate on the CEO's behalf with professionalism and warmth
* Coordinate communication between the CEO, team, clients, and external partners
Task & Project Coordination
* Track action items, follow-ups, and commitments so nothing gets dropped
* Keep the CEO's priorities visible and on track week to week
* Coordinate across departments to ensure the CEO's decisions turn into action
Travel & Event Support
* Manage all travel logistics — flights, accommodation, itineraries, ground transport
* Support event preparation from the CEO's side — talking points, content prep, guest lists, VIP coordination
* Be on-the-ground support at live events when needed
Personal & Professional Support
* Handle personal admin tasks that free up the CEO's mental bandwidth
* Maintain confidentiality and discretion at all times — you'll be close to sensitive decisions and information
* Anticipate what's needed next — you're always one step ahead

What You Bring
* Ideally 2+ years experience as an EA, PA, or in a high-level administrative/coordination role/Project management role
* Exceptional organisation and time management — you don't drop balls, ever
* Strong written and verbal communication — clear, professional, and warm
* Strong eye for detail
* Tech-savvy and comfortable with core tools: Google Workspace, calendars, project management platforms, CRM
* Discretion and trustworthiness — you'll be close to everything
* A proactive, low-ego, \"I'll own it and figure it out\" attitude
* Bonus: experience in education, coaching, events, or fast-growth environments
