What You'll Be Doing
Project Coordination & Planning
* Keep projects moving by planning ahead and preventing delays before they occur.
* Confirm templated initial project schedules in Buildxact and support supervisors with sequencing and visibility onsite.
* Prepare weekly and multi-week look-ahead schedules to maintain momentum.
* Coordinate communication between internal teams, suppliers and subcontractors to keep everyone aligned.

Procurement & Pre-Construction Support
* Review the final job file to ensure all required documentation is complete and construction-ready.
* Identify custom or long-lead items early and plan them into the construction schedule.
* Build and maintain strong relationships with suppliers and trades, including assisting with onboarding new subcontractors as needed.
* Maintain an organised, accurate Buildxact job folder that supervisors and trades can access onsite remotely.

Project Administration & Communication
* Keep all project documents current—plans, variations, RFIs, reports, photos and compliance items.
* Support client communication by relaying progress updates from site to the client Liaison.
* Maintain clear and accurate job records to provide strong visibility of project progress.
* Manage the post-construction close-out process to ensure no outstanding items or tasks remain, with the Client Liaison completing the scheduled two-month post construction client check-in.

What We're Looking For
* Experience in residential construction coordination, administration or project support and/or relevant construction qualifications (e.g., Carpentry Cert III or Construction Management degree).
* Strong organisational skills with the ability to stay ahead of schedules and anticipate project needs.
* Confident communicator who works effectively with supervisors, suppliers, subcontractors and clients.
* Comfortable using construction or project software (Buildxact experience is an advantage).
* Ability to read and understand plans, scopes, specifications and approvals.
* Someone who thrives in a supportive, non-micromanaged environment and naturally brings structure, clarity and steady workflows to their role.
* Australian permanent work rights are required for this position.
