Are you a highly organised and proactive professional with a passion for supporting senior leadership? West Gippsland Healthcare Group (WGHG) is seeking an experienced Executive Assistant to provide high-level administrative support to our Executive Director of Clinical Operations, Chief Medical Officer, and Deputy Directors of Clinical Operations.
In this support role, you will manage multiple diaries, coordinate meetings, prepare agendas and minutes, and assist with a range of administrative tasks that support the smooth operation of the Clinical Directorate. You will be the conduit for ensuring day-to-day functions run efficiently and professionally.
We are looking for someone with advanced computer literacy, particularly in Microsoft 365 and Adobe Acrobat, who thrives in a fast-paced environment and can confidently engage with executive management. Your ability to prioritise tasks, maintain confidentiality, and communicate effectively will be key to your success.
You’ll bring a proactive, solutions-focused mindset and a strong background in administrative systems and governance support. Experience in coordinating meetings end-to-end—including agenda preparation, minute taking, and tracking action items is essential.

Our preferred candidate will have:
- Previous experience in an executive and administration support role.
- Capacity to work with little supervision.
- Experience in juggling multiple priorities and deadlines.
- Experience in working with more than one manager.
- Experience providing support in a senior management environment.
- Demonstrated experience in acting with discretion and maintaining confidentiality.
- Minute taking.
The following experience/qualifications would be considered advantageous:
- Qualification in Administration or Business.
- Previous experience in a similar role providing support in a senior management environment.
- Health industry experience.
- Effective and consultative diary management.
- Autonomous management of small projects.
Important: Some roles in the healthcare sector are required to be vaccinated annually for influenza (unless a valid exemption applies). Evidence of vaccination (or exemption) may be required prior to commencement.
Salary
Permanent Full Time, 76 hours per fortnight or 80 hours + ADO. Managers & Administrative Workers Enterprise Agreement (HS3) commencing at $ per hour. (Junior rates apply to employees aged under 19 years).
