STEAA(WA) is seeking an experienced, well‐organised, and efficient Administrator to join our Association. This role works closely with our team of music teachers to offer a diverse programme of music and professional development events to our members.
STEAA(WA) is an association of music teachers offering instrumental tuition and an early childhood music programme following the philosophy of Shinichi Suzuki. It has a membership base of around 200 families and teachers and is a leading provider of music education with interstate and international counterparts.
Key Responsibilities
* Support the membership base – providing general assistance to family and teacher members
* Provide customer service to inquiries from the wider public
* Manage the Association calendar of events
* Answer/forward emails, calls and queries
* Organise STEAA(WA) documentation
* Use required hardware/software for smooth running (Microsoft Office Suite, Xero Accounting Software, Hello Club Membership and Events Portal, MailChimp)
* Assist with promotion and registration for Association events (workshops, graduations, solo days, concerts)
* Compile Association Newsletters (Microsoft Publisher)
* Send all Teacher Training enquiries and documentation to the STEAA(WA) Teacher Training Administrative Committee – general support as required
* Communicate with the PPSA in conjunction with the STEAA(WA) PPSA Representative
* Maintain a detailed written log of working hours and tasks completed on a weekly basis
* Handle financial aspects: manage accounts payable/receivable; invoice and collect funds through Hello Club; provide receipts; maintain membership database; reconcile banking and pay bills; prepare annual statement (to 31 Dec) and balance sheet; ensure compliance with financial regulations (GST, BAS); liaise with the Accountant for the Association
* Act as Treasurer and Secretary (ex‐officio, non‐voting) on the STEAA(WA) Executive Committee; handle all financial and secretarial duties in accordance with the Constitution; attend quarterly Executive meetings; keep matters confidential as directed
Terms of Employment
1. Office hours: 2 days (10 hours) per week, flexible; set days and times agreed with the Executive Committee; may adjust as needed
2. Contract: casual for up to 12 months with possibility of extension based on performance; 3‐month probationary period; regular performance management with President and Vice‐President
3. Hourly rate: Employee
$36.00 per hour exclusive of superannuation +12.0%
4. Work location: primarily work‐from‐home with occasional travel for meetings and events; 4‐week written notice required for planned absences or holidays affecting working days
Selection Criteria & Prerequisite Skills
* Minimum 3 years' experience in an administrative role (music industry experience a plus)
* Ability to handle and resolve issues efficiently and accurately
* Attention to detail, speed and accuracy
* Time‐organisation skills to meet deadlines
* Capacity to work independently and take initiative
* Excellent written and oral communication
* Professional presentation and attitude with drive and determination
* Strong work ethic; positive outlook and sense of humour
