About the role:
The Project Delivery Division provides a project management service to Digital Services and Security Department and coordinates, directs, and oversees programmes and projects in order to deliver outcomes and benefits supporting Victoria Police's strategic objectives.
Within the PDD is the Project Management Office (PMO) who provides support, assistance with the delivery of project components, quality assurance on project reporting and project management functions and maintenance of a ‘Centre of Excellence' for project delivery. The PMO also assists in the mobilisation of new projects, including the initiation and establishment of project teams for projects. The PMO is seeking one (1) proficient Project Administrator to support the delivery and transition of major projects. The Project Administrator will report to the PMO Program Manager and will provide administration and project support to the Division, the Senior Project Managers and project teams within the Division to enable and support the successful delivery of each project. The role will be diverse, requires flexibility and is likely to undertake a wide variety of work across the division.

Your duties will include:
1. Preparing a range of project and administrative materials and reports ( briefing notes, development of presentations, project progress reports, proposals and correspondence).
2. Providing secretariat duties to relevant committees, governance groups and project working groups/advisory groups, including taking of minutes and development of agenda papers.
3. Maintaining PDD resource plans.
4. Manage the on and off boarding of project resources.
5. Maintain organisational and project structure diagrams.
6. Maintain the PDD asset register.
7. Support assigned project manager in maintaining project documentation including actions, decision, risks and issues registers.
8. Attending to enquiries from a range of stakeholders and customers.
9. Developing positive working relationships with key internal and external stakeholders; and
10. Other duties as required to support the Project Delivery Division.
As the successful applicant, you will have:
11. Well-developed conceptual, research and analytical skills and an ability to prepare briefing papers, reports and correspondence.
12. Advanced MS Office and computing skills, specifically in the use of Excel and PowerPoint.
13. Good organisational skills demonstrating attention to detail and ability to multi-task and prioritise while adhering to strict timelines.
14. Well-developed interpersonal skills with the ability to communicate in an effective and mature manner with a diverse range of personnel and liaise effectively with internal and external stakeholders.
15. Proven ability to work with limited supervision and/or within a team environment.
16. An understanding of the customer service requirements of the position and a demonstrated record of strong commitment and achievement in meeting customer needs.
17. A proven record of ethical behaviour and a demonstrated commitment to the Victoria Police Code of Ethics and Conduct and the Organisational Values.
Requirements and relevant information:
18. One (1) full-time, fixed term position available until 31/01/2025.
19. Working within the Project Delivery Division, Digital Services and Security Department located at the Victoria Police Centre, 311 Spencer Street, Docklands.
