Receptionist (Client Experience & Front of House)
Mendelawitz Morton is a leading independent law firm in West Perth, offering bespoke legal solutions to mid-market businesses and high net worth individuals in corporate & commercial transactions. Our firm provides specialist support in mergers and acquisitions, tax, insolvency restructuring and turnaround, disputes business succession and estate planning.
The Opportunity
As we continue to grow, we are seeking a Receptionist who thinks beyond the front desk. This position sits at the intersection of client experience, operations and legal administration. It is ideal for someone who enjoys running an efficient front office, improving processes and being trusted with responsibility. You will be the first impression of the firm and will be an integral part of how we operate.
The Role
You will manage front-of-house operations while supporting the legal teams with matter administration and workflow coordination. This role requires professionalism, discretion and initiative.
We are looking for someone who:
* Notices inefficiencies and fixes them
* Anticipates what lawyers and clients will need next
* Is confident with systems and technology
* Understands the commercial pace of legal practice
Key Responsibilities
* Professionally welcome clients and visitors
* Manage incoming calls and enquiries with appropriate triage
* Coordinate and prepare meeting rooms (in-person and virtual) and client hospitality
* Maintain a polished, organised and secure reception environment
* Ensure client information is handled with strict confidentiality
* Legal and practice support, including o pening new matters and conducting conflict checks in accordance with firm procedures
* Maintain accurate client and matter records within the practice management system
* Coordinate mail, couriers and service of documents
* Improve reception and intake processes to enhance efficiency
* Maintain reception procedures and compliance checklists
What We're Looking For
* Experience in a law firm or professional services environment preferred
* Strong organisational skills and attention to detail
* High level of discretion and understanding of confidentiality obligations
* Calm under pressure and comfortable managing competing priorities
* Professional communication style with clients and colleagues
* Most importantly, we are seeking someone who takes ownership and pride in running a well-managed front office
