We're seeking a proactive and experienced Client Service Coordinator / Executive Assistant to join our Caulfield office. Supporting our Business Advisory team and Partners, you'll play a key role in delivering high-quality executive and administrative support while managing client communications, files, and correspondence. The Opportunity

In this role you will
* Provide administrative and operational support across the Business Advisory team
* Provide executive assistant support to Business Advisory Partners
* Manage Partner diaries, email correspondence, and meeting coordination
* Communicate directly with clients to respond to queries and requests
* Prepare and maintain accurate client files and documentation
* Support financial administration, including PIQ reports, fee posting, invoicing, and billing
* Prepare engagement letters, proposals, and reports
* Administer ATO and ASIC portals, including lodgements and correspondence management
* Coordinate meetings and boardrooms, including agenda preparation, room setup, and minute taking
* Provide reception relief as required

What you'll bring
* A positive, professional attitude with a genuine willingness to learn
* Strong written and verbal communication skills and a confident, client-focused manner
* Well-developed organisational skills with a high level of attention to detail
* Strong IT literacy, including proficiency in Microsoft Word, Excel, PowerPoint, email and calendar tools
* Ability to manage multiple tasks, prioritise effectively and meet deadlines
* Ability to work collaboratively as part of a team and independently when required.
* Familiarity with electronic document management systems such as FYI Docs, APS, and Now Infinity (beneficial).
* Experience in customer service, reception, or client-facing roles (desirable but not essential).
* Experience in a Client Service Coordinator, Personal Assistant, or Executive Assistant role within professional services (desirable but not essential).
