Position Overview

This is a pivotal opportunity to join the Legal and Integrity team within the Federal Circuit and Family Court of Australia, supporting work that truly matters. As the Legal Administration Officer, you will play a critical role in keeping a high performing legal team running smoothly, efficiently and confidently.

Working closely with the a/Executive Director of Legal and Integrity and Senior Lawyers, you will be at the centre of a fast paced, collaborative environment that provides strategic legal advice to the Court's leadership. Your work will directly support the Chief Justice, Chief Executive Officer and senior executives, contributing to the effective operation of a national court with significant responsibilities.

This role is ideal for an organised, proactive and trusted professional who enjoys anticipating needs, managing competing priorities and being relied upon as a key point of contact. You will manage diaries, correspondence and travel, coordinate meetings, maintain high quality records, assist with invoices and contracts, and support reporting and compliance activities. You will also prepare and format documents, manage templates, and handle sensitive information with discretion and professionalism.

The key duties of the position include:

The role will primarily assist the Executive Director of Legal and Integrity in managing their responsibilities and day-to-day operations, and assist the Legal and Integrity team more broadly, by:

* conducting inbox and file management (filing emails, organising and maintaining electronic files, ensuring accurate record-keeping, prioritising and monitoring deadlines);
* handling their schedule and diaries (organising their meetings, travel and lodgment of work-related expenses);
* invoice and contract management, predominantly in relation to external law firms and legal counsel (assisting with accurate tracking of invoices and timely payments);
* document and template management, including preparing, maintaining and updating precedents and other project-related documentation, and assisting in formatting and proofreading documents;
* providing compliance and reporting assistance, including tracking compliance obligations deadlines and preparing related materials;
* acting as a point of contact for a wide range of internal and external stakeholders on administrative matters;
* high level administrative support;
* handling sensitive material and information confidentially on behalf of the Legal and Integrity team;
* preparing correspondence and administrative reports; and
* other duties as required.

The role may also involve meticulous notetaking and attendance at various committees and working groups to support internal operations and projects where the Executive Director or the Senior Lawyers are unable to attend.

Desirable Experience

Experience working as a C-Level or high-level administrative assistant and/or policy officer to Executives or senior business leaders in business, law or Commonwealth Government will be highly regarded.

A legal qualification is desirable but not required.

Selection Criteria

1. Demonstrated high-level organisational and follow-through skills, including excellent time-management skills, the ability to set and manage priorities, multitask, work effectively under pressure and apply planning and problem-solving skills.
2. Meticulous attention to detail in all aspects of work, including document preparation and record-keeping.
3. Professional discretion, including tact and diplomacy, and an understanding of legal professional privilege and how to handle sensitive information confidentially, diplomatically and discretely.
4. Strong oral and written communication and liaison skills; the ability to communicate with people at all levels.
5. The ability to work well in a high-paced environment, both as part of a team and individually.
6. Well-developed interpersonal skills, sound judgment and the ability to develop and maintain productive working relationships with key staff and a wide range of internal and external stakeholders.
7. Sound IT proficiency, including demonstrated proficiency in the use of Microsoft applications, particularly in the use of Microsoft Excel.
8. Knowledge and understanding, or ability to develop an understanding, of the Commonwealth's environmental management policies, Commonwealth Procurement Rules and Public Governance, Performance and Accountability Act 2013.
9. A demonstrated understanding and commitment to the application of the Australian Public Service (APS) Values, to abide by the APS Code of Conduct and the ability to comply with the principles of Workplace Diversity and Occupational Health and Safety.

Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:

1. Australian citizenship – the successful applicant must hold Australian citizenship.
2. Security and character clearance – the successful applicant must satisfy a Police Records Check and may also be required to complete security clearances during the course of their employment.
3. Successful applicants engaged into the APS will be subject to a probation period.
