GAZ - APS 6 - Executive Assistant - Judicial Support

* Non-ongoing/Ongoing, Full Time
* WA - Perth

Salary range as of 12 March 2026: $99,734 - $111,701 plus 15.4% superannuation

The Federal Court of Australia invites applications for the Executive Assistant role providing support to the judges in the Perth Registry, commencing April/May 2026.

The Executive Assistant role is covered by the Federal Court Enterprise Agreement and is remunerated at the APS6 level.

Position overview

The Executive Assistant provides high-level administrative and general support to the Federal Court judges and works collaboratively with their Associates and other chambers staff to efficiently and effectively manage the chambers' workload. The Executive Assistant assists with the production of orders, data entry in case management systems and the publishing of judgments. Other tasks include coordination and managing the logistics of meetings and official events, seminars and chambers travel and providing support to Associates. The role requires an articulate, energetic and proactive person with excellent attention to detail and capability to build positive professional relationships.

Major Activities

* Act as a contact point in chambers for the Chief Justice, other judges, registrars, other court staff, legal representatives, parties, media and other court users
* Work collaboratively with Associates to manage judicial diaries and track progress of their matters with a view to appropriately communicating with others on their behalf
* Assist with the induction and training of new Associates in chambers.
* Demonstrate professionalism, tact and discretion, including the ability to appropriately manage confidential and sensitive information.
* At the judge's discretion, be available outside normal work hours as necessary, for example, when judges are rostered as a duty judge to hear urgent applications.

Administration of chambers

* Manage emails, memoranda and other chambers correspondence, including producing well-drafted correspondence
* Optimise and implement document management systems in chambers, including ensuring that all court files and other records are accurate and up to date
* Provide IT support, including preparing presentations, editing PDF documents and undertaking quick and accurate word processing
* Organise and set up for meetings, seminars, events, appointments and other commitments, including attending to all logistics and arranging official travel
* Support and arrange training for Associates and approve their timesheets and leave applications.

Legal support

* Assist judges with all aspects of their court-related work, and provide backup support to Associates as required
* Develop, maintain and optimise case management systems, including keeping track of matter progress and monitoring parties' compliance with court orders
* Assist with the production of orders and reasons, including quickly and accurately typing and proofreading drafts, checking cross-referencing and citations

Competencies & Attributes

To undertake this role the successful candidate must have:

* excellent interpersonal and communication skills
* the initiative to work autonomously and take responsibility for progressing work, whilst working collaboratively and harmoniously within the chambers environment
* strong IT skills, including touch typing skills, the ability to use legal databases, Microsoft applications and Adobe, and the ability to quickly learn to use courtroom technology and the court's internal case management systems
* excellent organisation, prioritisation and time management skills
* well-developed problem-solving skills, including an ability to effectively multitask and work under time pressures
* accuracy and attention to detail
* the ability to effectively manage large volumes of information, including dealing appropriately with confidential and sensitive information
* the ability to provide legal support, including understanding case management principles and procedures in a court or similar environment

Formal Qualifications

* Tertiary legal qualifications are desirable.
* Candidates with strong administrative experience, the ability to work autonomously, and proven executive support skills, particularly in a court or legal environment, will be highly regarded.

Selection Criteria

At least two years of experience in providing effective and efficient administrative support in a legal environment, including the initiative to work autonomously and well-developed organisation, prioritisation and time management skills.

* Excellent oral and written communication skills, including interpersonal skills, professionalism and an ability to appropriately handle confidential and sensitive information.
* A demonstrated ability to provide legal support and an understanding of case management principles and procedure in a court or similar environment.
* Excellent problem solving and analytical skills, including being able to demonstrate flexibility, innovation and sound judgement in decision making.
* Excellent attention to detail and accuracy, including proofreading skills.
* Strong IT skills, including touch typing skills, the ability to use legal databases, Microsoft applications and Adobe Acrobat, and the ability to quickly learn to use courtroom technology and the court's internal case management systems.

Eligibility

Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:

* Australian citizenship – the successful applicant must hold Australian citizenship.
* Security and character clearance – the successful applicant must satisfy a Police Records Check and may also be required to complete security clearances during the course of their employment.
* Successful applicants engaged into the APS will be subject to a probation period.

Interested candidates who have received a redundancy benefit from an APS agency are welcome to apply but note that they cannot be engaged until their redundancy benefit period has expired.
