The Role
The Executive Assistant (APS6) to the Deputy Secretary provides high level administrative support and ensures the effective and productive operation of the Higher Education, Research and International Group on a day-to-day basis.
The Executive Assistant is the first point of contact for enquiries and will use excellent customer service skills to interact positively and professionally with a range of internal and external stakeholders. The rapid‐paced and diverse role will require you to demonstrate initiative, discretion and the ability to manage competing priorities within tight time frames.
Responsibilities
* Organise travel and accommodation arrangements, including bookings, itineraries and ensuring accurate records and acquittals are kept.
* Coordinate logistical requirements for meetings, including organising agendas, meeting rooms and briefing materials, for the Deputy Secretary.
* Triage urgent, complex and/or sensitive requests including from the Minister's Office, Office of the Secretary and other areas of the department.
* Support group coordination activities and ensure tasks, correspondence and briefings are completed and deadlines are met.
* Manage record‐keeping processes using departmental systems such as PDMS and in accordance with departmental processes.
* Provide support and leadership to the Executive EA team and the Higher Education, Research and International EA team.
Eligibility
Citizenship – To be eligible for employment with the Department, you must be an Australian Citizen or, in limited circumstances, be in the process of obtaining it.
