Showcase your Event management experience
Provide organisational and administrative support to senior executives in their day-to-day office activities, and ensure that general office management is effective.
A significant additional responsibility of this position is to organise and manage the running of the RBA Annual Conference and Research Workshop, and other conferences/workshops as required.
Consistent with this, a core position objective is to undertake the tasks necessary to organise major events, functions and meetings including, but not limited to: booking venues and equipment, communicating with speakers and participants, handling all administrative aspects of conference organisation (e.g. coordinating speaker flights, payment of speakers, participant accommodation, catering and dietary preferences) and distribute documentation or presentations.
About the role- Act as the point of contact for the nominated Executive (or team), analyse and action requests in order to prioritise urgent matters, and take decisive action to facilitate the optimal use of time.- Have ownership of and oversee access to the nominated Executive's (or team's) schedule/agenda.- Handle confidential business and personnel information.- Extensive diary management including proactive management of internal and external appointments, records and correspondence and pre-empting the requirements to facilitate the smooth operation of the Executive team.- Manage a complex suite of arrangements for domestic and international travel, acting as the key point of coordination.- Administrative support such as maintenance of document templates, formatting and review of documents, document management, assisting with board paper preparation, note taking and following up actions.- Know the organisation's financial, authorisation and document management processes etc.- Research, collate, and provide reports to Executives to support informed decision-making and planning.- Obtain and organise information for use in conferences, speeches, and reports as requested by the Executive.- Compile, draft and& distribute documents, correspondence and business communications.- Schedule/coordinate meetings, diaries, and travel arrangements.- Organise events, functions and meetings, including booking venues and equipment, and prepare documentation for materials or presentations.- Research and basic authoring/drafting of documents/correspondence.- Work closely and effectively across the greater Executive Support function, keeping each other informed of important upcoming commitments, responsibilities and follow up as appropriate.
