Our client, a leader in the immigration law firm industry based in Pyrmont, is seeking an Executive Assistant/Office Manager to join their team.
This is a mission-critical role, where you will be brainstorming daily with the Founder, supporting her business schedule and taking charge of the things that keep the business operating efficiently. You will be skilled at providing strong executive support to a senior leader and be comfortable being a first point of contact with stakeholders including staff, clients and partners. This role requires a high level of drive, pro-activeness, discretion and eagerness to get any job done.
You will also be passionate about customer service and capable of building the trust and confidence of the leadership team and stakeholders. The role is both big picture and hands-on, requiring strong emotional maturity and a high level of energy.
Key Responsibilities
* Support the Managing Director/Founder in day-to-day activities of the executive office, coordinating and organising workflows in ways that help achieve maximum productivity
* Manage the calendar of the Managing Director, ensure excellent preparation, seamless flow and ample time for meetings and follow up
* Ensure all requests from the Managing Director are prioritised and actioned
* Act as the point of contact between staff, clients and partners
* Manage incoming communications including calls, emails and other client and staff enquiries, escalating issues as required
* Take ownership of the day-to-day office environment, ensuring it is organised, welcoming, professional and conducive to high performance
* Act as a culture champion, helping to create an engaging workplace where people feel connected, supported and motivated to do their best work
* Support key initiatives from planning through to completion, ensuring projects are delivered on time and to budget
* Manage the domestic and travel requirements of the Managing Director and team members
* Implement systems and processes to continuously improve business efficiency
* Running departmental meetings, monthly all-hands meetings, and participating in quarterly and annual business planning sessions to capture notes, to do's, issues and goal completion
* Manage supplier relationships to help keep offices clean and tidy
To be Successful Within This Role
* You have at least 5+ years' relevant EA/Office Management experience ideally in a fast growth business or entrepreneurial environment
* Proactive and anticipatory, and able to take initiative
* Willingness to learn the EOS framework for scaling companies
* Drive to work closely with the Founder and be part of business transformation and growth
* The ability to champion the culture and build strong trust and rapport with the Managing Director and team
* Excellent communication and professional at all times
* The ability to stay calm under pressure and you don't sweat the small stuff
* An ownership mindset, be highly structured and detail driven
