St John of God Midland Hospital are looking for an experienced and highly organised Personal Assistant or Secretary who thrives in a fast-paced environment and brings a polished, proactive approach to their work. A core part of this role is providing expert minute-taking support, especially for Clinical and Third Party Contract meetings, so strong, proven experience in this area is essential.
As a vital member of our team, you'll provide high-level secretarial and administrative support to two key leaders on our Hospital Management Committee: the Director of Corporate Services and the Director of Medical Services. This is a full-time, permanent role where your attention to detail, professionalism, and ability to stay one step ahead will help keep our operations running smoothly. The Position
Proactively provide a high level of personal assistance, secretarial and clerical support to the Directors through the following functions:
* Maintaining confidentiality at all times.
* Answering and screening phone calls.
* Managing the Directors' diaries.
* Prioritising and distributing incoming mail.
* Supporting the Directors with managing documents and correspondence.
* Supporting Governance Committee meetings with arranging meetings, meeting paper preparation, minute taking, and follow-up as required.
* Secretarial and other support services as required.
* Maintaining a flexible attitude to the daily schedule to address changing priorities.
* Initiating and contributing to improvements to administrative systems.
* Assisting with the management of Excluded Procedures.
* Coordinating travel, accommodation and associated logistics.
* Monthly reconciliation of corporate credit cards.
Position Requirements
With a Certificate in Secretarial Studies (or equivalent experience), you'll bring advanced Microsoft Office skills, fast and accurate typing (65+ wpm), strong document control, and excellent attention to detail. You'll have strong interpersonal and written communication skills, with the ability to liaise confidently with executives, managers, caregivers, and the public. You're comfortable drafting professional emails, letters, reports, and memos on behalf of senior leaders, always maintaining a high level of confidentiality and professionalism.
