Three Rivers Machinery is a family-owned and operated CNH (Case IH, New Holland and Case Construction) Agricultural Machinery Dealership with branches across Dubbo, Gilgandra, Narromine and Warren, NSW. We're looking for a motivated and organised Sales & Logistics Support Administrator to join our team at Three Rivers Machinery Dubbo branch. This full-time role is perfect for someone who enjoys variety and thrives in a fast-paced environment. You'll be a key part of our sales operations, coordinating the movement and delivery of new and used equipment, managing essential administration, and helping ensure everything runs smoothly behind the scenes.


What you'll be doing

* Coordinate Equipment Movements – Schedule and manage the delivery and pickup of machinery and equipment between branches, suppliers, and customer locations.
* Liaise with Transport Providers – Work closely with freight companies, drivers, and internal teams to ensure timely and cost‑effective transport. Monitor freight progress and proactively manage delays or issues.
* Maintain Accurate Records – Keep up-to-date records of equipment movements and status updates using Trello and our CRM system.
* Order Management – Place, track, and follow up on whole goods orders with suppliers, ensuring timely delivery and accuracy.
* Used Equipment – Maintain detailed records of used equipment during pre‑sale preparations and repairs. Coordinate with the service department, sales team and marketing for progress updates.
* Event & Display Coordination – Organise and prepare equipment for field days, shows, and promotional events, including logistics, cleaning, and presentation setup.
* Presentation of Equipment – Prepare equipment for transport or customer viewing, ensuring units are clean, correctly presented, and ready for inspection or delivery.
* Customer Support – Respond to customer inquiries in a timely and professional manner, delivering excellent customer service at all times.
* Sales Support – Assist with the preparation of quotes and sales documentation, and provide general administrative support to the sales team. Contribute to a cohesive and productive working environment.


What we're looking for

* Proven experience as an administrative assistant or in a similar support role, preferably within a sales or logistics environment.
* Strong organisational and time‑management skills, with the ability to multitask and prioritise effectively.
* Excellent communication and customer‑service skills, both written and verbal.
* Proficiency in using office software, such as Microsoft Office.
* Knowledge of customer relationship management (CRM) systems and inventory management processes.
* A commitment to delivering high‑quality work and contributing to the overall success of the team.
