Job Title: Personal Assistant to Licensee

About the Job:

The personal assistant plays a vital role in ensuring efficient daily operations and effective communication within the real estate business. This position requires exceptional organizational skills, discretion, and the ability to handle confidential information with professionalism.

* This involves connecting with our team, clients, and industry contacts to keep the real estate business running smoothly
* Maintaining accurate records of all transactions, including reports, notes, memos, emails, and other everyday documents for the principal agent
* Ensuring sensitive files and documents are safe and organized, including client info, contracts, and property deals
* Managing calendars, booking property viewings, setting up client meetings, and arranging travel for the principal agent
* Handling incoming and outgoing mail, organizing correspondence, and keeping detailed records of all transactions
* Responding to phone calls, assisting clients with queries, and connecting them with the right team members
* Providing backup Property Managers with property inspections, tenant applications, and key pickups
* Preparing property paperwork, including listings, contracts, and closing documents
* Creating property marketing materials and listing details
* Coordinating property viewings and open houses with clients and other agents
* Built relationships with clients through regular check-ins and follow-ups
* Establishing digital and paper filing systems so property and client info is easily accessible
* Guiding junior staff when needed, showing them the ropes and delegating tasks

Requirements:

* A minimum of 3 years of experience in administrative support roles, preferably in real estate
* Exceptional written and verbal communication skills
* Strong organizational abilities and attention to detail
* The ability to maintain confidentiality and handle sensitive information with discretion

Preferred Qualifications:

* A real estate license or willingness to obtain one
* Experience with property management software
* Background in customer service or client relations
