Position Description - Project Coordinator, GRID Series Newcastle
Who we are
GRID Series supports outer suburban and regional music artists around Australia. We serve as a bridge between underrepresented communities and the creative industries they seek to access, cultivating an environment for them to thrive. We provide artists with a network of support, industry mentorships and creative resources to break down barriers to inclusion, building a more vibrant and dynamic artistic landscape.
About the opportunity
In 2026, thanks to support from the NSW Government, we are bringing our artist development program to Newcastle. The GRID Series program will be part of a suite of programs delivered in Newcastle to make up a pilot "Community Hubs" series of programs. Other programs comprising the Community Hubs suite of programs include SongMakers, SongHubs Academy, and the Live and Local program working with local government to reinvigorate a Live Music Action Plan.
Through an expression of interest process, the GRID Series program will choose four artists/bands who will receive:
* An intensive weekend workshop which extends into mentorship from a music industry expert who will work with them one-on-one to help them realise their vision for their career;
* A new track, worked on in collaboration with an established producer over the course of 4 days of demoing and recording;
* A professional mix of the track;
* A master of the track;
* A release plan, designed and executed by an established publicist;
* A suite of visual and video assets to help the artist build their audience.
About the role
We are seeking a skilled Program Coordinator with a passion for music and community development to join our small team. You will be responsible for the smooth delivery of our Newcastle program as well as contributing to the broader GRID Series activities throughout the course of the contract.
About you
You have a strong understanding of how the music industry operates and have a keen strategic eye in seeing opportunities for artists that others may not. You cultivate strong reciprocal relationships with program partners and community members. You have experience in delivering events end-to-end. You are a whiz at scheduling, with a thorough and organised approach to managing a complex calendar of activities. You are patient and empathetic towards the needs of artists and love to apply your problem solving skills to ensure projects are completed at a high level and on time. You are a creative and natural storyteller with the ability to craft engaging social media content that excites and attracts new audiences to our work.
The role is a 12 month contract, working 2.5 days per week.
The contract fee is $43,000 (incld 12% superannuation).
What does a week look like for a GRID Series Program Coordinator?
Monday
* Working with a graphic designer to establish the visual ID of the program;
* Researching and booking mentors, music producers, studios and filmmakers to join the project team;
* Coffee with the music business mentors to explain the program;
* Meeting with community partners to update them on upcoming milestones and key messaging;
* Location scouting with film team to prepare for film shoots;
* Meeting with broader strategic Project Management group to track and report on how the project is tracking against strategic goals from project management group stakeholders;
* Pop in to the studio to see how the artists' song development / recording sessions are going and shoot some photo/video, based on GRID Series style guide;
* Post content online with engaging captioning.
Friday
* Brief project publicist on upcoming engagement campaigns, including developing messaging, managing timeline and sharing local knowledge around local media;
* Meet with GRID Series National Programs Manager;
* Catch up with one of the music producers who is having difficulty locking in recording dates with the artist they are working with;
* Answer enquiries from local council regarding upcoming event;
* Reconcile budget from the spends across the last fortnight.
